About Landmark Theatres


Landmark Theatres is a portfolio of regional venues in North Devon and Peterborough receiving a wide variety of arts and cultural opportunities for local communities. This includes major touring productions, high-profile live music acts, big-name stand-up comedy, dance, superb theatre and new writing. We also produce high-quality Musicals, Drama and Family productions including our annual family Pantomime in Peterborough. Our venues consist of: Queen Theatre, Barnstaple (650 seats), Landmark Theatre, Ilfracombe (450 seats), the New Theatre Peterborough (1,100 seats) and the Key Theatre Peterborough (112 & 360 seats). We are the largest new theatre entrant to Arts Council England's National Portfolio (23-26) and are working with a number of high-quality partners such as Birmingham Royal Ballet, The National Theatre and Paines Plough.

Job description



Job Title: Head of Finance

Responsible to: CEO

Place of Work: Peterborough and or Barnstaple for at least one day a week. Detail of flexible working by negotiation.

Hours of Work: 40 hrs per week

Salary: 60k pa.

Contract: Permanent Contract

Pension: Company Pension Scheme available

Probation: 6 months

Notice Period 1 month during probation period, 3 months following successful completion of probation period.


The first round of interviews will be held in person at the BFI offices in Central London. Details will be provided following the shortlisting of candidates.




About the Role:


Purpose & Responsibilities of the Role:


The following section is intended to list the key competencies and responsibilities of the role but is not intended to be exhaustive. It is anticipated that additional responsibilities will develop over time, and that the scope of the role may be expanded by agreement with the CEO.


Key Responsibilities


The Head of Finance will be responsible for all financial functions within Landmark Theatres, including management accounts, annual accounts, project budgets, payroll, pensions, and reports. The Head of Finance will also have officer responsibility for Governance and Board reporting, including sub-committees. The Head of Finance will report regularly to the CEO on the financial position, alongside the board, on the company and it's forecasts and projections.


The Head of Finance will line manage the finance manager and ensure strong working practice and development of skills within the wider department.


The Head of Finance will develop and maintain financial procedures and good governance to provide ongoing visibility and to ensure robust financial controls are in place, for a secure financial future.


The Head of Finance will be responsible for the preparation of management and annual accounts, business analysis and management report information - maintaining close links and a strong working relationship with the other four senior leaders in Programming and Production, Talent and Participation, Content and Business Growth and Customer and Commercial to ensure appropriate and timely provision of management information and close management of individual venue budgets.


The Head of Finance will be a qualified accountant. We would welcome applications from those who have significant experience in this area - most important is attention to detail, a keen commercial sense and a solid understanding and interest in the theatre/arts / live entertainment/hospitality.


Finance


* Manage effective accounting and bookkeeping systems and procedures.
* Prepare monthly cash flow and management reports, to actively monitor and understand budget variances.
* Actively manage the cash flow of the organisation, allowing for seasonal peaks and troughs.
* Manage bank account reconciliations, transactions, and VAT reconciliations.
* Prepare quarterly VAT returns to include partial exemption calculations. Liaison with external VAT advisor as appropriate.
* Maintain and monitor internal financial control processes and systems.
* Establish and maintain financial records of income and expenditure across all budgets.
* Lead liaison with bank.
* Manage relationship with payroll bureau and lead on monthly payroll and pension process.
* Alongside the Head of Production and Programme, advise on production budgets drawing specifically on historical spend and data to ensure accurate budgeting, to collaboratively ensure project feasibility, set up, launch and running of key business productions.
* Prepare documents and schedules for audit and annual accounts liaising with auditors Sayer Vincent.
* Lead on annual budgeting process and monthly reforecasting process.
* Support budget holders with reports, analysis and meetings to help them understand and manage their budgets.
* Preparation and submission of Gift Aid claims as appropriate.
* Work with Head of Content & Business Development on financial aspects of fundraising bids.
* Develop long term financial strategy including input into 5-year Business Plan.


Reporting & Governance


* Lead the process of preparing board papers & reports supported by the members of the SLT and the CEO
* Develop the annual board reporting timetable.
* Ensure board and board subcommittee meetings are documented appropriately
* Maintain the register of trustees including conflicts of interest
* Take responsibility for annual reporting to Companies House and the Charity Commission
* Advise trustees on governance issues as and when appropriate
* Liaise with legal advisors on governance issues as needed
* Provide monthly reporting on production accounts, including profit and loss as well as project income, and ensure the CEO is appraised accordingly.
* Prepare updates on financial quarters for board members and circulate in a timely manner.
* Attend board meetings to lead on financial matters.
* Update and manage the organisational Risk Register
* Prepare risk assessments on key quarterly finance results and affect change accordingly.
* Provide financial reports for investors.
* Lead on insurance cover and ensure that levels of cover are adequate for the organisation's operations and activities.
* Ad hoc returns and reports e.g. Office of National Statistics as required.
* Work with the CEO and SLT to proactively mitigate financial and legal risks to the company.
* Analyse and develop narrative around business growth, trajectory, and market share as part of regular reporting to board.
* Liaise with HMRC as and when needed.
* Ensure all financial activity is in material compliance with all legislation, regulations, and Landmark Theatres policies.




Work with the SLT team to maintain and develop policies and procedures across the business that encompass finance and accounting, such as procurement, HR, and GDPR, and ensure staff are fully appraised of their responsibilities in adhering to them.



Valid Disclosure and Barring (DBS) certificate is a requirement - or being willing to undergo and enhanced DBS check (At Landmark's expense).
