We’re looking for a proactive, detail-focused Insurance & Utilities Administrator to take ownership of two essential areas across our property portfolio: making sure every estate has the right insurance in place, and ensuring all utility accounts are contracted, accurate and paid on time.
This is a hands‑on, action‑orientated role where your work really matters. You’ll be the person who keeps things moving, spots issues before they become problems, and makes sure nothing important slips through the cracks.
What you’ll be doing
Insurance
You’ll help make sure every estate has valid, compliant insurance cover in place, including buildings insurance, Directors & Officers cover, engineering cover and any additional lease‑required policies.
Your responsibilities will include:
* Liaising with insurance brokers to ensure new estates are covered by the right policies.
* Managing insurance renewals and making sure policy documents are issued before expiry.
* Ensuring estates insured directly by freeholders have the correct policy documents on file.
* Monitoring building reinstatement valuations and keeping records up to date.
* Supporting and overseeing the new revaluation process once implemented.
* Checking policies against lease requirements, including specialist cover such as terrorism insurance where required.
* Using Qube reports to monitor insurance end dates and manage upcoming actions.
* Ensuring documents are correctly stored in the Business Document Library within Dwellant.
* Processing insurance premiums into the Qube Purchase Ledger and allocating bills correctly.
* Monitoring insurance‑related debts to ensure cover is not affected by unpaid invoices.
* Maintaining accurate, reliable data and regularly checking information for completeness.
Utilities
You’ll help ensure estate gas and electricity accounts are correctly contracted, competitively priced and paid promptly.
Your responsibilities will include:
* Liaising with the utilities broker to ensure accounts are in contract and on competitive rates.
* Monitoring contract expiry dates and entering new or renewed contract information into Qube.
* Updating supplier details, rates and estimated usage information.
* Uploading utility invoices to Dwellant where required.
* Ensuring broker‑managed invoices are uploaded promptly, especially ahead of supplier payment runs.
* Matching supplier statements and checking balances against Qube.
* Acting quickly on debt letters to avoid escalation, additional costs or service issues.
* Supporting meter exchange projects from set‑up through to completion.
Administration, coordination and continuous improvement
This role is not just about processing tasks — it’s about taking ownership and helping the team work smarter.
You’ll also be responsible for:
* Filing correspondence correctly and ensuring policy and contract information is uploaded to Qube.
* Following up on outstanding actions and making sure processes are being followed properly.
* Supporting newer team members by keeping an eye on activity and helping prevent surprises.
* Taking a senior, solutions‑focused approach to issues – seeing things through to the end.
* Getting involved in automation and process improvement projects.
* Sharing ideas, challenging inefficient ways of working and helping improve how things are done.
* As with any varied role, responsibilities may evolve over time as the needs of the business grow and change.
What we’re looking for
Previous experience in insurance or utilities is not required, as full training will be given. However, the following would be highly desirable:
* Experience working in an office environment.
* Excellent customer service skills
* Experience working with figures, invoices, data or financial information.
* Confidence using Microsoft Office, particularly Excel.
* Experience using property management or finance systems would be useful, although training will be provided on Qube and Dwellant.
