Project Support Officer

We are seeking a Project Support Officer to provide a full range of administrative and project support duties to the Capital Team, assist with the project planning stages of capital & revenue schemes, liaise with other departments, and act as the first point of contact for enquiries. The role requires initiative, organisational skills, and discretion with confidential information.
Main duties of the job
* Arrange meetings (Project Board, Technical Meetings, User Groups) and associated documentation such as design, technical, pre‑contract and project manager reports, agendas, and provide administrative support including taking and transcribing minutes and circulating papers.
* Deal with incoming and outgoing emails, taking appropriate action.
* Maintain the electronic diary of the Capital Team, re‑arranging and prioritising appointments as required.
* Type and distribute letters, surveys, reports, circulars, spreadsheets, policies, statements, and presentations.
* Take appropriate action in the absence of senior managers regarding complaints, press enquiries, etc., using initiative and discretion.
* Handle highly confidential and sensitive information with discretion.
* Assist the Capital Team in managing their day‑to‑day workload, operating flexibly, and providing all necessary support.
* Record all annual leave and sickness absence for the team onto the ESR system.
* Provide general clerical duties, including photocopying and faxing.
Qualifications
* NVQ up to level 3 or equivalent experience
* BTEC National Diploma in Building or industry‑related experience
* ECDL or equivalent
Knowledge and Experience
* Previous secretarial or clerical experience
* Experience of Microsoft Office
* Experience of computerised systems, e.g. AutoCAD, CAFM, Micad
* Experience of NHS structures and objectives
