Exciting opportunity for full‑time Practice Manager position in Hertford and Ware. We are seeking a proactive, motivated Practice Manager to join our friendly team and bring enthusiasm and commitment to the role. We are a well‑established GP training practice focused on patient care, with a list size of 19,000 and operating from two sites following a merger in 2020.


Responsibilities

The Practice Manager is a pivotal member of the organisation, responsible for ensuring the practice is financially efficient, compliant with health and safety, employment legislation and the Care Quality Commission (CQC). The role involves leadership, delegation and motivation of staff to achieve organisational goals and targets.

* Keep abreast of current affairs, identify potential threats and maximise income‑generating opportunities.
* Develop and research ideas for future practice strategy and objectives.
* Monitor and evaluate team performance against objectives; manage change.
* Maintain effective communication internally and with external agencies.
* Assess practice requirements and manage expansion plans.
* Represent the practice at ICB meetings and liaise with PCN and other community organisations.


Financial Management

* Ensure sound financial controls are in place and followed.
* Manage budgets, maximise income, and prepare bids for new resources.
* Oversee practice accounts, submit year‑end figures promptly and liaise with accountant and partners.
* Lead budgeting and monitoring each year, contributing to strategic planning.
* Prepare and present financial plans, including forecasting and reporting to partners.
* Analyse financial implications of contracts and legislation changes.


Human Resources

* Recruit and retain staff, manage employment contracts and job descriptions.
* Ensure legal employment, monitor skill‑mix and staffing levels.
* Organise induction, training and appraisal systems; manage leave and workload.
* Mentor staff and implement dispute resolution systems.
* Keep HR documentation updated and facilitate intra‑practice communication.
* First point of contact for PCN and other organisations regarding recruitment and retention projects.
* Oversee practice contracts, partnership, staff and premises agreements.


Organisational Management

* Manage meeting schedules, minutes and outcomes.
* Develop and update practice protocols, procedures and policies.
* Ensure compliance with Health & Safety and maintain business continuity plans.
* Conduct regular policy reviews and keep abreast of GMS, QOF and PCN requirements.


Patient Services

* Strategically develop and manage patient services in line with national guidelines.
* Maintain registration policies and monitor patient turnover and capitation.
* Schedule surgeries, duty rosters and holiday cover.
* Monitor service delivery, assess performance against patient access and demand targets.
* Manage complaints and significant event reporting through a structured process.
* Coordinate patient participation meetings to improve service quality.
* Collaborate with local practices and community groups.


Compliance and Confidentiality

* Maintain strict confidentiality of patient and business information.
* Follow practice policies for data protection and disclosure.


Training and Development

* Participate in annual performance reviews and maintain a personal development record.
* Engage in ongoing learning and share best practices with colleagues.


Communication

* Present a professional image and promote the practice within the team.
* Communicate effectively with patients, carers and external partners.
* Recognise and adapt to alternative communication needs.


Person Specification


Qualifications

* Evidence of commitment to continuing professional development.


Experience

* Experience communicating with and managing people.
* Teamworking, employee satisfaction and conflict management skills.
* Planning skills, prioritisation and NHS or practice‑management experience.
* Experience with regulatory bodies and inspection preparation.
