Clinical Administrator

If you are resilient, conscientious and would enjoy the challenge of dealing with the complexity of a varied workload then this post is for you! We are seeking an experienced administrator to join our dynamic team in General and Community Paediatrics - supporting the ASD service. You should be self-motivated, reliable and well organised with excellent communication and interpersonal skills. You should be able to demonstrate administration experience with appropriate qualifications, be able to work efficiently and methodically with good attention to detail without direct supervision. The post holder should be flexible to the needs of the service with a positive and proactive attitude.
If successful, you will be responsible for liaising with clinical and non-clinical professional staff for the delivery of a high standard of care. Your role will directly impact patient experience and be part of providing seamless delivery of care.

Main duties of the job
* Organising meetings with stakeholders and preparing agenda items
* Minute taking for departmental meetings and stakeholders
* Diary management for the consultant
* Proofreading and typing of clinic letters
* Scanning of clinic correspondence
* Booking clinic and ad hoc appointments
* Arranging outreach clinics
* Arranging telephone appointments and clinics
* Answering telephones from patients, carers and professionals
* Distribution of consultants' post
* Assisting the ASD team with all administration tasks
* Working closely with the ASD nurse - providing admin support

Job responsibilities
* Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team e.g. Specialist Nurses and Therapists
* Communicates with patients regarding appointments and admissions at the request of the medical team
* Provide cover for Team Leader within your administration team as required
* Cover Clinical Administrator posts Trust wide as required
Please note it is a requirement of The Newcastle upon Tyne Hospitals NHS Foundation Trust that all successful candidates who require a DBS for the post they have been offered pay for their DBS certificate.The method of payment is a salary deduction from your first months pay.

Person Specification
Qualifications & Education
* Level 3 qualification in administration or equivalent/relevant experience in administrative role(s)
* English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
* Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1
Knowledge & Experience
* Experience of secretarial/administrative procedures
* NHS Administration/Secretarial experience
* Working Knowledge of NHS Systems e.g. eRecord, System One
* Knowledge of medical terminology
Skills & Abilities
* IT Skills to include MS Office software packages e.g. Microsoft Word, Excel, Outlook and PowerPoint
* Advanced keyboard skills including a high standard of word processing skills
* Ability to work without direct supervision
* Ability to manage time effectively and work on own initiative
* Ability to accurately input, collate and present information
