Overview
Deputy Practice Manager role at West4GPs – a GMS practice in Chiswick. Reports to the Practice Manager, 30 hours per week.
Responsibilities
* Day to day operational duties, supporting the PM and ensuring smooth running.
* Manage reception and administrative staff, including recruitment, training, appraisals, inductions, sickness, leave and rota planning.
* Coordinate locum bookings, interview coordination, and support new staff onboarding.
* Handle staff issues, investigations and support the Practice Manager with HR matters.
* Deal with patient and staff complaints, follow policy, and act as first point of call for complaints.
* Ensure policies, procedures, and QOF / CQRS targets are maintained and updated.
* Support CQC, Health & Safety, NHS and practice standards, and implement improvements.
* Oversee practice inventory, stock control, and maintenance of equipment.
* Manage and maintain the clinical and administrative IT systems, troubleshoot PCs and printers, liaise with IT support, train staff on applications.
* Update and maintain the practice website, TV screen content, and patient portal.
* Project manage GMS contract targets and related paperwork.
* Produce patient newsletters, leaflets, and maintain notice boards.
* Coordinate locum cover and induction packs.
* Support internal communications: minute meetings and distribute minutes, follow up actions.
* Ensure confidentiality, data protection, and privacy rules are respected.
* Support health and safety, infection control, and risk management initiatives.

* Take on any other duties agreed with the Practice Manager and/or partners.

Experience & Education
* Previous NHS or primary care experience (2+ years)
* Experience in a supervisory or deputy management role, ILM / CMI qualification in leadership or management
* Diploma in Primary Care Management (e.g. AMSPAR or similar)
* HR management, finance/budgeting, employment law, NHS‑specific courses (e.g. data protection, information governance)
* Business Administration Management or Health & Social Care NVQ Level 3 or 4 (or equivalent experience)
* Evidence of continuing professional development (CPD)
* Good general education (GCSE or equivalent, usually including English and Maths)
* Leadership / management experience in a complex environment
* Experience of managing multidisciplinary teams, workforce planning, performance management, appraisal writing, staff development, disciplinary procedures
* Experience with health and safety audits
