The role underpins the financial stability of the organisation by ensuring that membership systems, supporter records and donor stewardship processes are consistent, compliant and resilient.
This position requires autonomy, precision and operational ownership. Working within a small, agile team, you will collaborate across departments while maintaining the integrity and continuity of CPPF’s core income infrastructure.

We care for some of the area’s most valued landscapes and historic sites, including Wandlebury Country Park, Coton Countryside Reserve, Grantchester Meadows and the Cambridge Leper Chapel. Across these places, we restore habitats, protect wildlife, conserve historic buildings and create opportunities for people to connect with the natural and built environment.
We deliver a vibrant programme of schools activities, public events and volunteering opportunities, helping people of all ages to explore, learn and contribute. Our work spans biodiversity, climate resilience, landscape conservation and heritage preservation.
We are a team of 15 staff, supported by over 100 volunteers and specialist advisors. Together, we combine practical conservation, strategic influence and community engagement to protect what makes Cambridge distinctive.
The Opportunity
You will work closely with our Memberships & Communications Manager and collaborate across a small, committed team. With a team of our size, responsibility is real and impact is visible. Individual contributions genuinely shape outcomes.
Our office is based in an eighteenth-century building overlooking Wandlebury Country Park, set within the Gog Magog Hills just south of Cambridge. The setting reflects the heart of our mission, surrounded by landscape, heritage and wildlife.
Role Purpose
To deliver high-quality membership operations, event communications support, and donor stewardship that protect and sustain CPPF’s unrestricted income.
The post-holder ensures members and supporters receive timely, accurate and professional interactions with the charity, maintains the data and retention systems that underpin stable membership income and supporter satisfaction, and manages core fundraising memorial products (such as plaques, trees and benches).
This role is responsible for delivering the day-to-day administration of membership systems and supporter processes, under direction of the Membership & Communications Manager, acting as the operational backbone of the engagement function.
Key Responsibilities
1. Membership Management & Retention
* Maintain accurate and GDPR-compliant records for approximately 2,500 members.
* Administer Direct Debits and monitor failed payments.
* Monitor retention and renewal reports; proactively follow up with lapsed, pending or failed-payment members in line with agreed processes.
* Handle membership enquiries (email/phone/post), including renewals, cancellations, payment issues and duplicate records.
* Produce and send membership cards and essential membership communications.
* Resolve data inconsistencies, process Gift Aid updates and ensure CRM accuracy.
* Produce regular CRM reports to support membership retention and income monitoring.
* Identify recurring issues within membership systems and suggest practical process improvements.
2. Data, Reporting & Administration
* Maintain accurate data for membership, donations and sponsorships.
* Respond professionally and promptly to general enquiries (email and telephone).
* Provide administrative support for key organisational events (AGM mailings, invitations etc).
* Assist with office tasks such as printing, scanning and postage as needed.
* Maintain documented processes to ensure operational continuity and resilience.
* Any other reasonable duties, including administrative cover for colleagues.
3. Events Support
* Working with the Events & Education Coordinator and wider team, manage the publication and promotion of CPPF events.
* Add and update event listings on the charity’s website using agreed templates.
* Prepare event listings for internal and external newsletters and publications (e.g. monthly newsletter and parish magazines).
* Design simple digital and print assets (e.g. posters, basic social posts) for events using established templates, ensuring distribution to the various CPPF sites.
* Ensure event information is accurate, timely and consistent across platforms.
* Manage the process for memorial and sponsorship products, including:
* Process payments and coordinate inscriptions/materials with suppliers and warden teams, under guidance from the Fundraising Manager.
* Maintain accurate donor records and issue updates at key milestones.
* Ensure memorial and sponsorship income is correctly recorded and reconciled.
Person Specification
* Proven experience using a CRM system to manage member or supporter records.
* High level of competence in CRM systems, Microsoft Office and general digital tools.
* Demonstrable experience in a membership administration or supporter operations role.
* Strong written and verbal communication skills.
* Excellent organisational skills and attention to detail.
* Ability to prioritise, take initiative and manage workload independently.
* Experience handling payments and sensitive donor information.
* Strong understanding of data accuracy, GDPR compliance and record management.
* Experience in fundraising or donor stewardship.
* Ability to create simple marketing materials on Canva.
* Understanding of Gift Aid and charity data compliance.
* Use of AI tools to enhance productivity.
