Position Overview
We are seeking a highly organised and proactive Office Manager to oversee the day-to-day administrative operations of our office. The successful candidate will serve as a key support to the Managing Director while ensuring smooth operational efficiency across all administrative functions.
Key Responsibilities
Administrative Support
* Handle all incoming telephone calls professionally and efficiently
* Manage post office runs and coordinate courier services as required
* Monitor company inboxes to ensure timely responses and appropriate action
* Provide comprehensive administrative support to the Managing Director
* Maintain optimal office supply levels and manage procurement
Financial Administration
* Process invoices promptly and forward to appropriate parties for payment
* Perform basic bookkeeping duties and maintain accurate financial records
* Reconcile bank accounts and resolve discrepancies
* Liaise with external accountants and provide required documentation
* Manage payroll administration including: Verify employee hours against time reports, input payroll data into spreadsheets and submit payroll information to accountants and MD for processing
Communication & Coordination
* Monitor and manage email correspondence to ensure timely responses
* Coordinate internal communications and maintain information flow
* Act as primary point of contact for external suppliers and service providers
Required Skills & Qualifications
Essential
* Proven experience in office administration or similar role
* Strong bookkeeping and basic accounting knowledge
* Excellent organisational and time management skills
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
* Outstanding verbal and written communication skills
* High attention to detail and accuracy
* Ability to work independently and prioritise multiple tasks
Desirable
* Experience with Xero accounting software package.
* Experience supporting senior management

Pay: £28,000.00-£32,000.00 per year
