This crucial role serves as the welcoming face and administrative anchor of our office in Silchester. The Receptionist Administrator is the first point of contact for all visitors and callers, ensuring a professional and positive initial impression. You will manage the reception area, handling all incoming communications and coordinating the needs of the office and its staff. Beyond the front desk, this position is key to smooth daily operations, requiring proactive administrative support across various departments. You will manage essential office logistics, from equipment maintenance to internal communication, ensuring that staff have the necessary resources and information to operate effectively. Job Responsibilities * Front Desk & Communication Management: * Answer the main telephone line, screening and routing calls promptly and professionally. * Serve as the primary point of presence in the reception area, particularly when guests or customers are expected. * Manage incoming and outgoing mail, including opening, scanning confidential documentation, arranging for contract signatures, and coordinating shipping and express deliveries. * Office and Meeting Coordination: * Arrange and manage internal meetings for employees and coordinate logistics for external customer business meetings. * Maintain and update internal administrative databases and keep office literature and informational materials current. * Inform and announce company information, news, and updates to office staff. * Operational & System Support: * Order office supplies, mail supplies, and express shipment materials as needed for various departments. * Ensure all office equipment (e.g., printers, copiers) is operating efficiently, coordinating repairs and maintenance with external vendors. * Coordinate with external service providers, such as the cleaning agency, for general office upkeep. * Utilize and maintain proficiency in various internal systems, including Oracle, Lotus Notes, Workday, and Google Mail. * Administrative Project Support (as needed): * Provide support with various HR-related administrative tasks. * Assist with documentation and follow-up for visa applications. * Order catering, such as lunch for meetings and events. Qualifications * Experience & Skills: * Proven experience in an administrative, receptionist, or front-of-house role. * Excellent verbal and written communication skills with a professional and friendly demeanor. * Strong organizational skills and meticulous attention to detail. * Demonstrated ability to maintain confidentiality and exercise discretion. * Ability to multitask, prioritize, and manage time effectively in a busy environment. * Must have full right to work in the UK. * Technical Proficiency: * Proficiency with standard office software (e.g., Microsoft Office Suite or Google Workspace). * Familiarity with or the ability to quickly learn enterprise systems such as Oracle, Lotus Notes, and Workday.
