Main Purpose Of Job
Playing an active role to support Team Leads, the Crewing Manager has the overall responsibility for crew planning and operation functions of seafarers, including all manning requirements of each individual vessel. Also, to ensure seafarers are all in compliance with regulatory requirements, company and customer standards.
Reporting Relationship
Report to the Head of Human Resources.
Key Work Areas
Strategic
* To train the Crewing Department, set strategy, and encourage continuous improvement in the team.
* To determine the goals that the Crewing Department will work toward
* Responsible for setting goals, deciding how team should approach goals and develop a plan to accomplish and monitor them.
* Coach team members on achieving set goals and develop skills that get results
* Maintain communications with Commercial, Operations, Technical & QHSE to determine future requirements from an operational and flag state perspective.
* Assist to determine budgeting, both in terms of wages and training
Leadership
* Responsible for ensuring the Crewing Department is functioning effectively on a day-to-day basis through constant communication with team.
* Provide guidance and problem solving for any challenges or issues faced in Crewing Department
* To distribute information to the team and stakeholders
* Provide clear and concise instruction to assign day to day tasks
* Recognize where support is needed and actively work in that area
Crew Coordination
* Compliance with Safe Manning, Industry specific requirements and effective crew planning and execution
* Oversee and govern vessel manning allowing for sufficient experience and on-board performance capability
* Ensure that all employment documentation and qualifications for crew is accurate and vessels are compliant with current crewing legislation
Training
* Ensure training is adequate to allow for succession planning and promotion preparedness in conjunction with the Training Lead
* Oversee training activity for crew members to include industry specific & contractually required training, and STCW requirements.
Recruitment
* Provide strategic input for projected recruitment requirements, to ensure sufficient coverage of sustainable crew numbers to cover the operation of the fleet.
* Act as controller to ensure information on requirements flows from Crew Coordinators to Recruiter.
* Oversee recruitment, ensuring that all paperwork & certification is acquired and filed appropriately
Travel & Payroll
* Oversee travel & logistical activity for crew members
* Oversee payroll and ensure accuracy by holding a review meeting monthly
ER Issues
* Liaise with Crew and Unions on matters to include salary reviews, policy and employment disputes.
* Provide support to Masters on personnel issues such as grievance & disciplinary resolved at sea.
* Manage onshore disciplinary and grievance procedures for crew members on behalf of the employer when required.
* Liaise with Guernsey based crew employer in regard to employment matters.
General
* Regular vessel visits
* General office duties
* Provide coverage for team during holidays/absences
* Divert queries from crew members to appropriate part of the team e.g., recruitment, travel, training, payroll
Communications
* Daily communications with all staff in department and across the Group
* Crew members
* Operations, Technical, QHSSE and Senior Management
Qualifications/Training
* General administrative experience
* Computer literate – Email, Databases, Microsoft Office packages i.e. word, excel.
Experience/Knowledge
* Experience in management of a department
* Knowledge of the Marine industry
* Background and experience in HR/Recruitment or Personnel Logistics
