Dietetic Administrative Assistant for UGI and HPB

Job overview

To provide a comprehensive secretarial/administrative service to the UGI/HPB team.

To optimise and streamline existing secretarial processes used within the UGI/HPB dietetic team.

To provide admin support to the dietetic UGI/HPB team outpatient clinics.

Liaise with patients regarding nutritional supplement preferences.

To be an effective team member and provide assistance to the staff in the Dietetic Service.


Main duties of the job

The admin assistant will support the dietitians in providing a service to patients within the UGI/HPB team by undertaking the following:

* Administration : including but not limited to:

Produce word processed documents such as letters, reports, guidelines as required by the dietitian

4.3 Clinical Practice

Document any patient related activity onto the EPR in accordance with departmental standards.

4. 4 Information Technology

Be familiar with Trust patient administration systems

Be able to use Excel, Microsoft Word, One Drive, Microsoft Outlook

4.5 Communication

Understand and maintain issues of confidentiality at all times

Maintain good interpersonal skills with staff and colleagues

4.6 Personal and Professional Development

* Participate in the Trusts appraisal system
* Undertake mandatory training

4. 8 Stock Control

Ensure there is an adequate stock of diet ary information leaflets and order more as required

Monitor and maintain health and safety and security of self and others in the work area

t ake appropriate action to manage an emergency situation with patients or colleagues.

Education and Qualifications

* Educated to GCSE level or equivalent qualifications or equivalent experience (A-C / 4-9) in English & Maths
* NVQ in Administration Level II or equivalent qualifications or equivalent experience
* European Computer Driving Licence or equivalent qualifications or equivalent experience
* RSA Typing or OCR Word Processing Level II qualification or equivalent qualifications or equivalent experience


Experience

* Relevant experience in a clinical administrative role
* Good working knowledge of Windows based packages
* Good knowledge of email system
* Experience of utilisation of available technology and applying it in the workplace
* Experience of managing telephone enquiries in a supportive and professional manner
* Medical terminology
* Evidence of working with data bases
* Use of clinical patient information systems such as Lorenzo, Systmone
* Development of standard operating procedures and their application in the workplace


Skills and Knowledge

* Excellent keyboard skills
* Effective organisational skills with the ability to prioritise own workload / work to deadlines
* Ability to work on own initiative and prioritise workload
* Able to manage frequently changing priorities and deal with interruptions
* Effective communication, interpersonal / team working skills
* Understand and accept the need to maintain confidentiality
* Ability to take minutes for meetings

* Willing to undergo further training as necessary
