UKROEd Ltd is a private, not-for-profit company responsible for the delivery, management and administration of the National Driver Offender Retraining Scheme (NDORS) on behalf of the Police service. Overview of the role
The HR & Administration Support Officer will provide essential support across several operational areas including HR, and also ensuring the UKROEd Head Office runs smoothly and professionally. The role includes two days per week working with the HR Manager to support the HR function, with the rest of the time allocated to the delivery of the administrative function across other key business which will include supporting the Chief Operating Officer.
This is a strong supporting role and the postholder will play a key part in ensuring the smooth and safe day-to-day running of their allocated administrative areas. They will also assist with health and safety training coordination as directed by the Business Administration Lead. This varied role requires a proactive and highly organised individual who is confident managing multiple priorities. This is not an exhaustive list of responsibilities.
Responsibilities
Human Resources
* Maintain and update employee records (physical and digital).
* Assist with the recruitment processes including posting jobs, managing candidates communications, drafting and collating interview packs, scheduling panel meetings and assisting with the planning of interviews.
* Assisting with the preparation of HR reports.
* Assist in the preparation of HR documents, including contracts and policy updates.
* Support the entire employee lifecycle, from recruitment and onboarding to leaver administration.
* Organise and coordinate training sessions, workshops, and other employee engagement activities.
* Assist with day-to-day HR operations and administrative tasks.
* Track training records and maintain learning records.
* Coordinate onboarding and induction process for new employees to ensure the process is complete, supportive and satisfies compliance.
* Establish, maintain, and organise the electronic HR filing system for easy access and accuracy.
* Provide direct support to the HR Manager with tasks, reports and projects as required.
* Support with the updating of the UKROEd SharePoint.
Office Coordination & Reception (As required)
* Act as a friendly and professional first point of contact for visitors and incoming calls.
* Cover reception desk duties as needed, including greeting guests, managing meeting room bookings and handling deliveries.
* Manage incoming and outgoing post and coordinate courier services.
* Ensure office supplies are stocked, equipment is maintained, and the office is kept tidy and presentable.
* Support the set-up of rooms for meetings and events (refreshments, layout, AV checks).
Executive and Secretariat Support
* Provide secretariat support to meetings as required (e.g. team, project or stakeholder meetings), including agenda preparation, minute-taking, and action tracking.
* Offer administrative support to the Chief Executive Officer and Chief Operating Officer as required.
* Format and circulate documents, reports and presentations to a high standard.
* Maintain confidentiality and discretion in dealing with sensitive materials.
Team and Meeting Support
* Assist with the planning and delivery of UKROEd staff events, team meeting days and internal workshops.
* Coordinate internal communications such as staff rotas, holiday trackers and room bookings.
* Work collaboratively with the Executive PA and Business Administration Lead to provide seamless admin support across the organisation.

Human Resources Administration Support Officer
Job Related Knowledge
* Experience of or ability to write high-level, professional correspondence with a good grasp of English grammar and sentence structure.
* Basic understanding of HR processes (recruitment, onboarding).
* Experience with scheduling meetings, maintaining calendars, and coordinating logistics.
* Understanding and appreciation of confidentiality and data protection when handling employee information.
* Familiarity with core HR processes and documents such as contracts, offer letters and confirmation letters.
* Awareness or willingness to learn a basic level of employment law and HR compliance requirements will be helpful.
* Basic knowledge or direct experience of using a HRIS system and/or extracting data from a similar system for the purpose of reporting and providing requested information.
Experience
* Proficiency in MS Office (Word, Excel, Outlook).
* Proven experience in a varied administrative role with direct contact with HR or senior leadership.
* Familiarity with recruitment support tasks such as posting jobs, scheduling interviews, and coordinating with candidates. This can be taught on the job if not.
Skills and Aptitudes
* Strong organisational skills and the ability to juggle multiple tasks with competing deadlines.
* Excellent written and verbal communication skills, with confidence taking and drafting minutes.
* Highly proficient in Microsoft 365 (Outlook, Word, Excel, Teams).
