Job Advert: Admin & Project Support Coordinator (Signage / Large Format Print)

We're a fast-paced large format print and signage company. We're growing rapidly and need a hands-on Admin & Project Support Coordinator to support our project management team and keep the wheels turning day-to-day.
If you're organised, confident on the phone, love getting stuck in, and can juggle a few plates without dropping them — you'll fit right in.
What you'll be doing
This is a varied role split between admin support, job coordination, customer comms, and content/photo coordination.
Admin & office support
* General admin support: answering calls, handling enquiries, managing inboxes
* Raising and tracking purchase orders, supplier chases, delivery ETAs
* Collating jobs and supporting internal workflow from enquiry → quote → production → install
* Booking couriers / deliveries, scanning, filing, keeping records tidy and traceable
* Light housekeeping / keeping the office and shared spaces presentable
Project team support
* Supporting the project managers with day-to-day coordination
* Communicating with clients, suppliers and installers to keep everything on track
* Preparing job packs / install packs (RAMS, drawings, site notes, sign-off sheets)
* Assisting with quoting new work: logging enquiries, requesting info, helping issue quotes, following up
* Updating simple trackers/spreadsheets to keep jobs moving and everyone in the loop
* As and when required a hands on approach may be needed.
Content & photo coordination
* Collating photos and videos from site/installs/production for project records, client updates, and company marketing
* Supporting simple content posting for Instagram / LinkedIn / Facebook (as needed)
What we're looking for
Essential
* Full UK driving licence
* Confident speaking to people: great phone manner and email etiquette
* Strong organisation and multitasking (you'll be managing multiple jobs at once)
* Professional, reliable, proactive and uses initiative
* Comfortable with basic admin systems and keeping things accurate
Preferred / bonus
* Excel and PowerPoint (basic-to-decent level)
* Any experience using Illustrator (not essential, but a big plus)
* Experience in signage, print, construction, fit-out, events, or project coordination
Personality fit (important)
* Team player with a "let's crack on" attitude
* Not scared of a busy day — enjoys a fast-moving environment
* Takes pride in doing things properly (details matter in signage/print)
* Happy to get involved, learn the industry, and grow with the company
* Calm under pressure and able to prioritise when everything lands at once
