Mental Health Ward Administrator

We are currently looking to recruit an experienced, enthusiastic and motivated Ward Administrator to join our inpatient mental health team based in Peterborough, Cambridgeshire within the Older Peoples and Adults Directorate. This role will involve working within a mental health ward for Older People who are experiencing a mental health crisis or have a primary diagnosis of Dementia.
You will also provide administrative support to the Crisis Resolution & Home Treatment Team for Older People.
The ideal candidate will have a strong team work ethic, sense of accountability, and an ability to work under considerable pressure at times.

Main duties of the job
The post holder will provide a comprehensive administrative service within the team, offering efficient, effective and timely support for OPAC.
Such support will include liaison with Consultants, Modern Matrons, Trust staff and OPAC colleagues to ensure effective communication and that systems are maintained for the receipt and onward delivery of all administrative duties.
Job responsibilities
* Provide comprehensive administrative support to the mental health wards and crisis teams, including accurate preparation and management of correspondence, reports, and medical summaries.
* Act as the first point of contact for staff, visitors and external contacts, managing incoming telephone calls and enquiries professionally within defined timescales. Receive, prioritise and appropriately escalated messages from the public, health professionals and partner agencies.
* Receive and process referrals onto the SystmOne caseload, ensuring data accuracy and compliance with information governance requirements.
* Maintain and update electronic referral tracking systems and caseload records to support service reporting and operational oversight.
* Manage referrals in line with agreed service criteria, taking appropriate action to decline referrals where necessary and providing clear, accurate signposting to alternative mental health services in accordance with Trust pathways and procedures.
* Maintain and update systems for recording patient admission, transfer and discharge status, liaising closely with ward staff and the discharge planning team to ensure timely and accurate information to support patient flow and discharge planning.
* Travel independently and in a timely manner across Cambridgeshire and Peterborough to meet strict deadlines.
Person Specification
Education / Qualifications
* Educated to GCSE standard A‑C grade or demonstrate equivalent level of experience.
* Good command of written and spoken English.
Experience
* Experience of working in a busy and fast paced environment.
* Experience of planning and organising own workload and of staff within own span of control.
* Previous experience of working in a NHS ward.
* Experience of supporting a multi‑disciplinary team.
Skills & Abilities
* Excellent customer/patient care skills via written & verbal in‑person and telephone methods.
* Good computer/IT literacy.
* Ability to work under occasional pressure/stress.
* Experience in using computer programmes including health care IT systems.
* Knowledge of the Data Protection Act.
