Personal Assistant– NHS University Hospitals of Liverpool Group
Band 5, Permanent, 08:45‑17:00 Monday‑Friday, 37.5 hrs/week; cross‑site work across all Liverpool sites.
Job Overview
We are looking for an exceptional and experienced Personal Assistant to provide a high‑quality, professional and confidential service to the Chief Pharmacist, Clinical Director for Medicines Optimisation. A proven track record of working as a Personal Assistant/ Secretary or equivalent is essential. The successful candidate will manage a challenging diary, prioritise competing demands and support senior executive and pharmacy teams across multiple sites.
Main Duties
* Provide comprehensive senior administrative support, including complex diary management across multiple sites.
* Manage information, systems and produce research and documentation to support meetings and events.
* Support effective time‑management of executive and governance activities, attending up to six sites.
* Take a lead or supportive role in specific initiatives to achieve projects and service objectives.
Essential Criteria (Experience & Skills)
* Proactive approach to service improvement and change.
* Willingness and motivation to learn and self‑develop.
* Confident, positive and friendly interaction with colleagues and customers.
* Team player with flexible working abilities.
* Senior Administrative or Personal Assistant experience at Director/Senior Management level.
* Experience producing detailed written reports and presentations using Word, Excel and PowerPoint.
* Experience administering and coordinating substantial projects with multiple stakeholders.
* Experience planning, organising and recording meetings and events.
* Excellent verbal and written communication skills.
* Strong interpersonal, organisational and time‑management skills.
Desirable Criteria
* NHS experience.
* Evidence of continual professional development.
* IT qualification.
* Knowledge of NHS strategies and initiatives.
Qualifications
* Degree level education or equivalent experience (essential).
* Evidence of commitment to continuing development (desirable).
Knowledge
* Broad IT skills (Word, Excel, PowerPoint, email, internet, local systems).
* Understanding of Data Protection and Confidentiality requirements.
* Knowledge of NHS strategies and initiatives (desirable).
