Catherine House Surgery is a well-established GP practice located in Totnes, serving approximately 5,000 patients. Since moving to our modern, purpose-built premises in 2020, we have continued to grow and develop as a dynamic and patient-focused practice. Our dedicated team includes five doctors, two nurses, one healthcare assistant, and a supportive administrative team led by an office manager.
We are deeply committed to education and training, providing placements and supervision for Foundation Doctors, GP Registrars, and both medical and Physician Associate students. This creates a stimulating environment that values continuous learning, collaboration, and innovation in patient care.
The Practice Manager plays a pivotal role in leading and coordinating the non-clinical aspects of the surgery, ensuring smooth day-to-day operations, financial stability, and the ongoing delivery of high-quality patient services.

You will manage, coordinate and oversee all aspects of practice activities, motivating and managing staff in an effective and safe working environment. You will lead the team in enhancing service delivery, learning and development and ensuring the practice complies with statutory regulations.

Job responsibilities
1. Management of all clinical and administrative staff
2. Direct line management of Office Manager
3. Managing staff recruitment and retention, ensuring an effective appraisal system and resolving disciplinary or grievance issues
4. Maintaining and ensuring compliance with HR legislation
5. Ensuring staff have the appropriate level of training to enable them to perform their roles and responsibilities effectively
6. Ensuring the practice explores all opportunities to maximise income and reduce expenditure in collaboration with the partners
7. Managing contracts for services and procurement of practice supplies in collaboration with the partners
8. Coordinating and reviewing and updating all practice policies and procedures
9. Managing the Patient Participation Group (PPG)
10. Working with South Dartmoor and Totnes PCN, and the practice clinical lead, to ensure best practice across the PCN
11. Coordinating the compilation of practice reports, and business continuity plans
12. Ensuring CQC compliance. Working with the Registered Manager to ensure requirements for potential CQC assessments are up to date
13. Developing an effective communication strategy for internal and external use eg web-site, social media, practice newsletter
14. Overall responsibility for all incoming e-mails ensuring there are actioned as required
15. Ensure compliance with NHS contractual obligations
16. Provide support for planning meetings, recruitment of staff and ensuring GP rotas and holiday arrangements are managed effectively
17. Ensure effective practice meetings with clear agendas, minutes and action plans
18. Responding to patient concerns and complaints within current guidance and legislation
19. Managing health and safety aspects eg risk assessments and mandatory training

Qualifications
* A qualification in business management, business administration or related fields
* Management experience in the healthcare industry
* Exceptional organisational skills
* Strong leadership skills
* Proficient in computer software packages and NHS clinical and health management applications
