Job Description
Responsibilities:
3. Manage office operations alongside the facilities manager and landlord
4. Assist Facilities Manager and Facilities Team with ad hoc Tasks
5. Work with Sustainability Manager on monthly reporting and stats
6. Be responsible for internal Facilities Compass page to improve internal communications and provide updates to the business
7. Occasional travel may be required to assist with Reception cover
8. Greet all incoming visitors and contractors into the Reading office
9. Liaise with third party contractors to include cleaners, security etc
10. Stock check and order office supplies and equipment
11. Receive, sort, and distribute incoming mail.
12. Meet and greet all visitors, ensure they are checked, provide relevant guidance
13. Manage meeting rooms
14. Management of Vendor bookings
15. Assistance with on-site events
16. Set-up & set-down meeting rooms each morning
17. Assist with Sales Intake days - liaise with Divisional Director for requirements
18. Manage Goods-in and deliveries
19. Manage vending machine
20. Manage bookings for staff onsite massage services
21. Order buffet lunches when required
22. Order and take delivery of food supplies weekly
23. Keep a log of all Reception purchases
24. Raise Purchase Orders for any items purchased ie: Amazon, Flowers
25. Ensure Health & Safety compliance - PAT Testing etc
26. Provide assistance to Fire Wardens and First Aiders
The Successful Applicant
A successful Facilities Coordinator / Office Assistant should have:
27. Previous experience in a facilities or office support role within a professional environment.
28. Strong organisational skills and attention to detail.
29. Proficiency in using office software and tools to manage tasks efficiently.
30. A proactive approach to problem-solving and the ability to multitask effectively.
31. Excellent communication skills to liaise with colleagues, vendors, and visitors.
32. A commitment to maintaining a tidy and professional office space.
