JOB PURPOSE

Ensuring the successful implementation and maintenance of effective administration and financial systems to meet the organisations internal and external requirements.

KEY ACCOUNTABILITIES

Young People Training

· Organising Health & Safety course administration as required, submitting and issuing outcome paperwork and ensuring accurate records are kept for audit purposes.

· Organising the booking of CSCS exams for young people and ordering Green Cards.

· The filing and accurate reporting of all necessary information to CITB and maintenance of the charity as a high quality Training Centre.

· The registration of young people onto the course and provision of information prior to them starting.

· Main point of call for travel benefits.

· Shopping and making of lunches for young people.

Organisation of landscaping work

· Accurate and timely records maintained of all quotes, invoices, enquiries and job bookings.

· Ensuring all jobs have been paid for as per quote.

· Banking of cash on a regular basis

· Tracking of petty cash income and expenditure.

· Being the main point of contact for customers who wish to book quotes, book jobs, have queries regarding their jobs or to pay bills.

· Timely production of job cards to ensure Landscapers know their work plan for the day.

· Maintenance of the Work Diary, ensuring we know when each job is booked in and who is delivering the work.

· Calling to confirm jobs with customers prior to Landscaper's attendance on site.

· Any other duties as required to ensure customers are happy with the services provided by Growth Path Services.

General Office Administration

· Provide administrative support to staff across the charity.

· Ensuring the office is kept organised.

· Management of Training Records for staff.

· Ensuring all recruitment and induction paperwork is issued to trainees.

· Ensuring financial reports produced by the organisation are accurate and up to date by maintaining receipts and liaising with Bookeeper.

· Processing payroll and making HMRC submissions.

· Ensure all charity vehicles are legally compliant and handling issues when they arise e.g. booking MOT's and maintaining insurance.

· Place stationery orders as required.

· To support the CEO, Operations Manager, Landscapers, IAG Officer and Trainer with ad hoc assignments and additional duties within your skill and competence as the Company may reasonably require, where the workload demands and/or there is a business need.

· Comply with all Company policies and procedures including those to protect the health and safety and welfare of anyone affected by the Company's business.

· Undertake training to meet the requirements of the role.

· Behave in a manner, which respects the differing needs and cultures of other staff and young people.
