Job Title: Executive Assistant Department: HR - working for Managing Director & General Manager Reports To: Head of HR Salary: Competitive, depending on experience Hours: Full time monday to friday 8.30 to 5.00 The Role: The Executive Assistant (EA) provides high-level, confidential, and proactive administrative and organisational support to the Managing Director (MD) and General Manager (GM). Acting as a trusted partner, the EA ensures smooth executive operations, effective communication, and timely management of priorities, enabling leadership to focus on strategic decision-making and business growth. People Manage complex diaries for MD and GM, prioritising meetings and optimising time. Prepare agendas, meeting packs, briefings, and follow-up actions to ensure clarity and alignment. Act as a key point of contact for senior stakeholders, customers, and suppliers. Minute senior leadership meetings and track actions, ensuring accountability and transparency. Build strong relationships across the business to facilitate effective collaboration and communication. Handle confidential information with discretion, demonstrating professionalism and judgement. Ad hoc HR duties as and when required Planet Organise travel arrangements (transport and accommodation) with efficiency and cost-consciousness, considering sustainability where possible. Maintain accurate executive records, minimising paper usage and promoting digital organisation. Support environmentally conscious planning of events, board meetings, and executive sessions, ensuring logistics are streamlined and sustainable where practical. Prosperity Track key projects, business priorities, and cross-functional initiatives, ensuring deadlines are met. Liaise across internal teams to facilitate smooth flow of information and support execution of strategic initiatives. Prepare high-quality reports, presentations, and briefings to enable informed decision-making. Support strategic sessions and executive events, ensuring optimal planning and coordination. Process expenses accurately and maintain timely financial records to support business operations. Strong report and presentation preparation skills. Experience in a fast-paced or family-run business.
