Main purpose of job:

The British Government’s Mission in New York has an exciting opportunity for a dynamic person to join the Corporate Services Team as an Accommodation Officer. This opportunity is a rewarding role which supports and further develops the special relationship between the UK and the US, supporting work at the forefront of international diplomacy in order to make a real difference globally.

In this role you would be working in a diverse international environment to support UK diplomats, armed forces personnel and other country based staff operating across the British Government’s network of Consulates and Government Offices in the United States. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.

The ideal candidate will be a highly motivated individual who has a real passion for delivery service and an ability to communicate compassionately and clearly with stakeholders. While experience with corporate or residential housing management is beneficial, this role will suit someone with excellent client relationship skills and strong communication and budget experience.

Roles and responsibilities:

1. Source appropriate lease accommodations and lead negotiations in line with approved policy and strategy.
2. Responsible for the delivery of all permanent and temporary residential housing requirements at post.
3. Be the Single Point of Contact for officers’ accommodation arrangements for when they move to the U.S.
4. Liaise with internal stakeholders to ensure clear and streamlined communication with stakeholders.
5. Deliver a strong customer service based on policies, strategies and budget.
6. Oversight of lease and building management fees budget.
7. Support Head of Facilities and Maintenance Manager on assessments of owned and rented properties and value for money considerations on future maintenance investments.
8. Support the Head of Facilities with recommendations on housing allocation, and prepare reports for the Post Housing Committee as required.
9. Find optimisations within the property portfolio to enhance value for money.
10. Work with finance team to ensure deposits, rental payments and utility payments are set up.
11. Liaise with landlords and diplomatic staff to conduct walkthroughs.
12. Maintain the portfolio accurately within the property management system.
13. Accurate forward looking forecasting of the rental expenditure for the current and future financial years.
14. Support ensuring Health & Safety procedures are adhered to and practised across the mission.
15. Deputise for the Head of Facilities and support the wider estates team as required.
16. Any other administrative duties as assigned by Head of Corporate Services.

Resources managed (staff and expenditure):

17. This role does not manage any other staff.
18. Effectively liaise with other estates team members and departments within the wider organisation.
19. Relationships with third-party vendors (Contractors/Cleaners/Landlords/temporary accommodation).
20. Oversight of $3M+ rents expenditure and temporary accommodation.

25. Excellent organisational skills with the ability to multi-task and strong problem-solving skills.

Please note that the tax arrangements imposed by the US on staff working for foreign governments, as well as those imposed by the UK Treasury on British and dual nationals working for the UK Government overseas, are atypical. The UK Government cannot withhold taxes (including FICA) on behalf of a US taxpayer. Instead, a US taxpayer is required to file taxes as if they are self-employed, and a FICA allowance is granted for those required to pay the employer contribution. Certain categories of staff (for example dual UK-US nationals and some visa holders) who work at Consulates General are not subject to US taxes. For those not subject to US taxes the UK Government reduces gross pay to a level broadly equivalent to taxed net pay. There are also social security implications for dual UK-US nationals. Please keep all this in mind when looking at the salary and the benefits package. Working patterns:

This role is full time (40 hours) with core hours of 9:00-15:00 and must be in the office at least three days a week and more during busy periods. This role also requires site visits to accommodation in and around New York City.
