We have an exciting opportunity for a Team Administrator to join us in the Community Integrated Neurology and Stroke Service and Acquired Brain Injury Service
We are looking for an efficient and well organised Administrator to join our friendly admin team. You must be a great team player and be flexible with working hours, covering team members where necessary.
You will be the first line of contact for patients, carers and professionals, handling queries ensuring that accurate advice is provided and confidentiality is maintained. You must have excellent communication/customer service skills and deal with queries in a helpful, professional and friendly manner. You will support a complex booking service for patients, monitoring patient waiting lists and clinical diaries to ensure appointments are booked and meet waiting times compliance. You will also provide comprehensive admin support to the Personal Assistant, Clinical Leads and members of the multi-disciplinary clinical team. You must have a good level of education, with NVQ 2 in Administration/Business or equivalent experience, hold a secretarial qualification RSA 2 or equivalent and have experience using Microsoft Office and electronic systems. You must be able to demonstrate experience of working with confidential information and have the ability to work using your own initiative as well as working as part of a team.
Main duties of the job
* To provide an effective, efficient, and professional booking service for patients on the CINSS waiting list overseeing a complex booking process.
* Using the Trusts supply chain and IPROC system for all ordering required by the team to include equipment, stationery, adhoc supplies.
* To be the first line of contact for patients and professionals regarding clinical appointments and general enquiries.
* Dealing with tasks from professionals and handling these as required in order to coordinate patient care according to agreed pathways.
* Undertaking supervision and appraisals for members of the administration team.
* Inputting of SSNAP national audit data producing reports where necessary working alongside clinicians.
* Deputising for the Personal Assistant to include minute taking and chairing administration meetings.
