Job Description
Thatcher Associates are working alongside an established construction company who have started their search for an experienced Document Controller/ Site Administrator to support their technical and site construction team on various upcoming projects in and around the Cardiff area.
The Role
You will be completely responsible for all document control and business support on site. The Document Controller is responsible for the organization of project documents, assisting initially on a major multi-million-pound scheme. This is a permanent, site-based position. The role involves coordinating with various departments within the company and external consultants to ensure documents are stored correctly and accessible to relevant parties.
You will also ensure the smooth running and coordination of on-site paperwork and activities.
About you
* Previous experience in Document Management and administration on large development/construction projects.
* Strong organizational skills and experience working with effective filing systems.
* Ability to monitor and evaluate systems for improvements.
* Good communication skills for coordinating information across departments.
* Willingness to learn new skills, including training on relevant design software.
* Extensive knowledge of 4Projects, Oracle, Viewpoint, SharePoint, or similar filing systems.
Main Responsibilities
* Setting up project filing systems.
* Maintaining electronic and hard copy filing systems.
* Checking document quality.
* Monitoring portals, downloading, and printing tender documents and clarifications.
* Preparing inquiries for subcontractors with relevant drawings and paperwork.
* Monitoring processes and producing listings.
* Taking and circulating meeting minutes.
* Performing general clerical duties such as typing, photocopying, and binding documents.
* Handling incoming correspondence and post.
* Responding to information and data requests.
* Answering and directing telephone calls.
Previous Experience or Skills Required
* Excellent understanding of computer filing systems and experience with external IT collaboration systems like Viewpoint.
* Experience with Fieldview software or similar project snagging systems.
* Experience assisting consultants with document filing systems.
* Good organizational skills and attention to detail.
* Experience working with main contractors, construction consultancies, or developers is preferable.
* High accuracy under pressure.
* Excellent IT skills.
* Good written and spoken communication skills.
* Ability to give directions when needed.
* Effective diary management skills.
Qualifications
The role requires a minimum of GCSEs (A-C)/S grades (1-3), including English. A degree or Higher Diploma in a relevant subject is preferred but not mandatory.
