This role is responsible for ensuring the smooth and efficient day-to-day operations of the branch by coordinating projects, supporting internal teams, and acting as the operational backbone of every project and service call. You will work closely with the Branch Director and interact with every department—sales, engineering, project management, technicians, service, and accounting. Key Responsibilities: Manage Project Coordination – Own the end-to-end coordination of project operations across the branch, including order processing, scheduling, equipment management, and job closeout. Process D365 Orders – Submit, validate, and track equipment orders, change orders, and returns in Microsoft Dynamics 365, ensuring all details are accurate and traceable. Maintain Schedules – Build and manage project and service schedules, coordinating manpower and technical resources to align with client expectations and branch capacity. Lead Operational Meetings – Run weekly production and scheduling meetings, and facilitate project handoff meetings to ensure alignment between sales, engineering, and delivery teams. Approve Timecards – Review and approve employee timecards daily for all branch personnel, maintaining payroll accuracy and compliance. Manage Shipping and Receiving – Coordinate logistics of inbound and outbound equipment, warehouse space, and deliveries to site, ensuring equipment is where it needs to be—when it needs to be. Support Sales Operations – Partner with sales staff to manage the operational side of sold projects, track margin-affecting changes, validate special pricing, and flag cost changes in real time. Assist Project Managers – Provide scheduling support, track key project information, and manage kickbacks or returns related to equipment changes or supplier delays. Coordinate with Technicians – Manage technician schedules, vehicle maintenance, tool access, and general readiness to ensure they can deliver efficiently and professionally. Support Engineers – Assign project tasks and due dates for engineering workload, manage equipment delivery timelines, and coordinate substitutions when required. Liaise with Branch Accountant – Ensure job closeouts, change orders, and billing align with project stages and accounting timelines. Track opportunity status to ensure timely financial recognition. Collaborate with Service Coordinators – Align technical resources and logistics for service work and coordinate inbound/outbound equipment required for service repairs. Oversee Building and Vehicle Maintenance – Manage schedules for company vehicle upkeep and branch facility maintenance to ensure safety and compliance. Organise Internal Events – Coordinate local team-building events, vendor visits, holiday celebrations, and other branch-wide activities that support CTI’s culture. Provide Front Desk Support – Answer calls professionally, manage incoming visitors, and support client interactions where required.
