Assist Occupational Health in the provision of patient care and provide an admin and clerical function to the OH service.
As we are an East Lancashire Wide Service, staff may be required to work across different locations within the district.
Flexibility of working hours may be required work dependent on service need.
Main duties of the job
Due to increasing service demand, the Occupational Health & Wellbeing Services are seeking to strengthen their established Administrative and Clerical Team.
Applications are invited from suitably qualified administrative professionals to support the efficient operation of the department and contribute to the delivery of the Trust’s Health and Wellbeing strategy.
Candidates must be able to demonstrate progressive experience in administrative procedures, including the use of electronic appointment systems.
Knowledge of digital systems used within healthcare environments, such as Cerner, along with proficiency in Microsoft Office applications including Excel, Word, and Outlook is essential. Evidence of continued professional development (CPD) will also be required.
Applicants should have a genuine interest and enthusiasm for this area of work.
The role operates across a five-day service rota.
The post-holder will work within the Occupational Health and Wellbeing Service, supporting a range of workstreams. Responsibilities will include booking Occupational Health and Wellbeing appointments, supporting EASE service provision, coordinating external provider activity, and inputting data across multiple systems, including Cerner and RAVs.

Detailed job description and main responsibilities
MAIN DUTIES
- Undertake administrative and clerical duties as requested. Some administrative duties are a large part of this role, such as filing of records, dispatch of appointments, answering emails and the telephone and dealing with written enquiries and problems not requiring the attention of clinicians.

- Provide general duties e.g., filing, faxing, scanning and photocopying.
- Organise and oversee the collection and storage of all information relating to the Service
- Maintain effective and up-to-date diary management for all in relation to appointments
- Ensure that timely and accurate collection of statistical information as may be needed for the effective management of the service and to meet statutory requirements. This will require computer skills to assist in the inputting data on the PC.
- Carry out administrative and clerical duties as required, to assist in the provision of a quality service.
- Provide general assistance to clinicians to support the service, such as preparing equipment and after training, setting up treatments in readiness for the clinician.
- Maintain a neat and orderly service area to ensure the environment is conducive to patient care
- Maintain an effective and efficient supply of stock items and ensure that these are accessible and readily available.
- Assist in the mobility and transfer of patients who may be heavy on occasions (the Trust operates a minimal lift policy)
- Give general assistance to patients for example, dressing and undressing, toileting, application or removal of splints or calipers, application of waterproof dressings.
- Assist clinicians in clinical duties in the service setting. Specific duties and rehabilitation exercise programmes may also be carried out by an assistant alone. In these circumstances the advice of a qualified member of staff will always be available.
- Contribute to the provision of quality of patient care within the service and ensure that SEQOHS standards are maintained.
- Participate in the staff appraisal scheme and personal development plan
- Proactively participate in the development of the clinical governance framework within Occupational Health linking national and Trust guidelines to team objectives and personal practice.
- Liaise with clinicians as necessary regarding patient care. In particular, highlighting any variations to expected outcomes from treatment programmes.
- Attend and actively participate in the in-service training programmes as required.
- Contribute to the development of patient care by attending relevant team, departmental or other appropriate meetings and comment on recommended changes to clinical care or service provision.
- Be responsible for the safe use of equipment and to check all mobility aids and other equipment for safe patient use, ie. Walking aids/frames.
Organisational
- Be responsible for the safe use of equipment and walking aids by patients in your care.
- Manage and prioritise your own patient caseload with supervision of clinicians and be responsible for maintaining adequate records and progress of their patients.
- Monitor and develop own performance with liaison of clinicians aiming to achieve and maintain a high standard.
- Be responsible for the administrative arrangements for organising eg. book clinics, rooms and equipment.
- Ensure effective and on-going communication with clinicians regarding treatment of individual patients.
Physical Effort
- The post holder will be expected to kneel, sit on heels, move adult limbs, support patients while walking, lift and transfer patients, push wheel-chairs and use a hoist.
Mental Effort
- The post-holder will be expected to concentrate and ensure good communication with patients who have impaired understanding or communication difficulties ie, slurred speech.
- To deal sensitively with patients who have high levels of anxiety and aggression caused by pain, dementia or limited mobility and with patients who are having difficulty accepting their disabilities resulting in extremely low motivation and compliance.
