We're looking for an experienced Administration Supervisor to lead a high performing logistics administration team supporting nationwide store replenishment and e commerce fulfilment. You'll play a key role in maintaining service excellence, cost control, and operational accuracy in a secure, fast moving DC environment.
Why this role matters
Our distribution centre processes around 6 million units annually, fulfilling c. 680k customer orders and supporting c. 265+ stores across the UK & Ireland. You'll lead a team of 16 administrators (4 direct reports), ensuring critical processes run on time, to standard, and within budget-keeping customers and stores at the heart of what we do.
What you'll do Lead & develop the team: motivate, coach and performance manage 4 direct reports and oversee the broader admin cohort (c. 16) to deliver high standards, engagement and results.
Run the daily admin operation:
Raise POs and reconcile invoices (stationery, courier partners); control overtime and training.
Plan and coordinate high value stock movements (e.g., LeVian trunk shows) and store refits/closures/new store logistics and collections.
Collate and track B2B/B2C courier costs and movements (totes/boxes/parcels); produce store delivery schedules.
Monitor and improve store delivery service levels; resolve carrier investigations & claims.
Oversee customer refunds (within 48 hours of receipt), order cancellations, vendor orders, direct orders, and export administration.
Ensure timely and accurate handling of PayPal transfers.
Drive performance & continuous improvement:
Challenge the status quo, champion Lean ways of working and cross training to reduce functional risk.
Interpret data/KPIs to improve availability, allocation, accuracy and cost-delivering to budget.
Problem-solve first time: act as first line support for warehouse management systems and collaborate with peers, Customer Services, Store/District Managers, and Security to resolve issues and protect assets.
Keep the DC moving: oversee time sensitive reporting and workflows (e.g., pushes/urgent orders, same day carrier bookings, undelivered/held orders, returns, wholesale/marketplace orders & refunds, stationery planning/counts, Lyreco reviews).
What you'll bring Leadership in logistics administration within a medium to large scale operation (c. 5+ years' admin experience).
Proven ability to supervise teams, set KPIs, manage rotas, and deliver through others.
Strong systems and process control mindset; comfortable reviewing/implementing internal controls and updating SOPs/process flows.
Commercial focus: budget awareness, cost control, data gathering and KPI reporting.
Stakeholder confidence: effective communication across DC operations, Customer Services, Store/District Managers, courier partners and Security.
Tech skills: SAP, Excel and Word (competent user).
Desirable: ILM Level 3, IOSH.
