Organisation Stoke City Football Club Salary Competitive Location Stoke-On-Trent Contract type Permanent (Full time) Closing date 17 March 2026 Job Description Stoke City Foundation, the official charitable arm of Stoke City Football Club, is seeking a dedicated and dynamic Administration and Operations Officer. This pivotal role will be based at the bet365 Stadium and other facilities as required.

As a key member of the Operations team, reporting directly to the Operations Manager, you will play an essential role in driving the charity’s vision and mission. Your contributions will ensure that all initiatives align with the Foundation’s strategic objectives, enhancing our impact within the community.

We're seeking a dynamic individual to be the pivotal first point of contact for visitors, callers, and partners of the Foundation. You will expertly manage all general enquiries via phone and email, acting as a key ambassador for our core values.

Main Responsibilities

•Streamlining processes to support delivery staff, Coordinators and the Senior Management Team.
•Managing and utilising the digital systems for efficient data, communication and operations.
•Producing regular operational reports on attendance, KPI’s and output for staff members.
•Overseeing all logistical aspects of Foundation events.
• Implementing efficient administrative processes for staff support.
•Reporting on operational and programme data.
•Preparing materials and support for all new staff members and volunteers.
•Promoting Club policies, including Health and Safety, Safeguarding and Code of Conduct.
•Designing and implementing governance and compliance processes in line with charity and funding legislation.

Key Skills, Experience and Qualifications

•Strong organisational and administrative skills, including managing records, mail, supplies, bookings, and ensuring data accuracy.
•Experience in supporting operational processes, including scheduling, logistics, equipment management, and facility coordination
•Understanding of safeguarding, health and safety, and risk assessment practices, with a willingness to undergo further training.
•Ability to coordinate events and programmes, including registrations, attendance tracking and venue preparation.
•Proficient in digital and office systems, including data entry, communication tools, and general IT applications.
•Experience in a charity, community, education, or sports environment in a senior administrative or operational capacity.
•Friendly, approachable, and customer-focused, with the ability to build positive relationships with colleagues, participants, and external partners.
The ideal candidate will be available to work evenings and weekends to cover matchday fixtures and other adhoc events at the bet365 Stadium.
The position will be offered on a full time and permanent basis.
