Overview
An exciting opportunity has arisen for a senior administrator to work the Camden and Islington NHS Talking Therapies Service. The successful candidate will have proven administrative skills and will complete a range of administrative tasks to support the clinical team, including processing referrals, booking appointments, reception duty, answering the phone, dealing with emails, and liaising with patients, GPs and multi‑disciplinary teams. Knowledge of using the IAPTUS and Rio EPR systems is desirable.
The role will also include coordination of a small number of administrators and other senior administration tasks to provide support to the clinical teams. The postholder will be experienced, dedicated, reliable, proactive, flexible, assertive and take the initiative in anticipating the needs of their teams. The candidate should demonstrate a high level of prioritising and organisational skills, be able to use initiative as required, and organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers. They should be able to work at pace and autonomously as well as part of a team, have good Excel skills, verbal and written communication skills, and provide an excellent service to patients.
Working closely with the administration manager, the senior administrator will provide a full range of administrative support to the clinical team, including processing referrals, booking appointments, reception duty, answering the phone, dealing with emails, liaising with patients, GPs and multi‑disciplinary teams, maintaining the service information management system IAPTUS, ordering stationery, coordinating site health and safety, and other miscellaneous tasks as directed by the admin manager.

Key Responsibilities
* Provide a full range of high‑quality administrative secretarial support to the service line teams.
* Implement relevant high‑quality office systems and exploit the use of IT, in conjunction with the team manager and in liaison with the administration manager as appropriate.
* Accurately maintain all relevant service user data systems in a timely manner in accordance with Trust and local standards.
* Manage diaries of allocated managers/professionals appropriately.
* Use initiative appropriately to deal with and prioritise post and telephone calls.
* Deal with all administrative duties to support the operation of the service line.
* Obtain, create and maintain service user case notes in line with national standards such as Clinical Negligence Scheme for Trusts (CNST) and Trust and local policies.
* liaise with the Trust Information Governance Team and service Clinical Lead about Subject Access Requests to Records queries if required.
* Arrange and service meetings as necessary including the taking of minutes.
* Ensure adequate stocks of stationery, supplies and forms are maintained and used cost effectively within the department, liaising as appropriate with the appropriate Line Manager about orders and ordering in line with local procedures.
* Provide, in conjunction with other administration staff, cross cover for other administrators/clinical support workers during periods of heavy work pressure or absence.
* Implement and follow relevant policies relating to secretarial and administrative duties.
Additional Considerations
In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that falls under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.
