We have a fantastic opportunity for a highly capable, intuitive and proactive Executive Assistant to support the Founder & CEO of a high-growth business in the wellness and fitness industry. After 20 years of building the company without dedicated EA support, the principal is now looking for a trusted right-hand partner to bring structure, unlock capacity and drive greater efficiency across the business, with scope to support on personal matters over time. This is a newly created role with real scope to shape and define from the outset. Working closely with the Founder & CEO, you will provide senior-level administrative, organisational and operational support in a fast-paced, evolving environment. As this is the first time he has had this level of support, the role requires strong emotional intelligence, sound judgement and the confidence to proactively identify where you can add the most value. Acting as a true extension of the Founder & CEO, you will manage competing priorities, streamline day-to-day operations, coordinate meetings and travel, and bring structure to a busy and dynamic schedule. There is clear potential for the role to grow over time, depending on trust, fit and the evolving needs of the business. This position would suit a charismatic, solutions-focused EA with experience supporting a founder or senior executive in a fast-paced entrepreneurial environment. You will be highly organised, naturally proactive and confident managing complexity with professionalism, warmth and discretion. The ability to patiently build trust, anticipate needs and establish an effective working partnership is key. The role is based in London with hybrid working available. Some flexibility may be required outside standard hours, though this is not expected to be a regular feature. DUTIES TO INCLUDE: • Managing a complex and constantly evolving diary for the CEO, ensuring priorities are clear and time is used effectively. Acting as a true right-hand support, helping to bring structure, improve efficiency and free up capacity for more strategic work • Liaising with internal and external stakeholders to coordinate meetings, appointments and commitments, often across shifting priorities • Ensuring the CEO is well briefed and prepared, with clear oversight of upcoming commitments and sufficient preparation time built in • Handling diary changes, resolving conflicts and adjusting schedules as needed, while maintaining a calm and solutions-focused approach • Coordinating meeting logistics, including materials, agendas and follow-up actions where required • Managing domestic and international travel, including itineraries, accommodation, transport and last-minute changes • Proactively identifying ways to streamline processes, improve organisation and reduce administrative burden to free up the CEOs time • Handling sensitive information and correspondence with complete discretion, while building trusted systems and ways of working that enable greater delegation over time • Supporting across select personal matters, including managing elements of the CEO’s personal diary to ensure alignment with business commitments. Coordinating personal travel, bookings, appointments and occasional lifestyle or wellness arrangements, as well as organising gifts and key personal dates • Acting as a trusted and discreet point of contact where needed ESSENTIAL CRITERIA: • A minimum of 5–10 years of experience supporting a CEO, Founder, Entrepreneur or HNW principal as an EA or Private PA within a fast-paced environment • Experience supporting a founder who is new to working with an EA, with the confidence to shape the role, demonstrate value and build a strong, trusted partnership over time • Proven ability to manage complex diaries, shifting priorities and international travel with accuracy and calm • Highly organised, with excellent attention to detail and strong judgement • Professional, discreet and emotionally intelligent, with the ability to operate in a high-trust environment • A confident communicator, comfortable liaising with senior stakeholders • Proactive and solutions-focused, with a natural ability to anticipate needs and take initiative • Comfortable working across both business and personal support in a flexible, evolving role • Confident implementing systems, structure and more efficient ways of working around a busy principal • Able to manage multiple priorities in a fast-moving environment • Strong technical skills across Microsoft Office and standard administrative systems • Right to work in the UK and able to provide strong, verifiable references
