What this role is all about:
Are you a confident and proactive personal assistant looking to make a real impact? We’re on the lookout for someone who thrives in a fast-paced environment and enjoys supporting multiple senior leaders with professionalism and care within our business. In this varied and rewarding role, you’ll be at the heart of the business managing diaries, coordinating key meetings and events, and handling sensitive information with discretion. You’ll work closely with other Personal Assistants to share ideas and streamline processes, ensuring everything runs smoothly behind the scenes. From preparing agendas and taking detailed minutes to organising travel and maintaining accurate records, your ability to juggle priorities and build strong relationships will be key.
Key Actions:
* Collaborate with other Personal Assistants to ensure aligned processes and efficient working practices
* Prepare and distribute meeting agendas, take comprehensive minutes, and follow up on action points
* Coordinate complex meetings and events, including logistics, branded communications, catering, and documentation
* Provide professional diary and time management support, prioritising meetings and deadlines to maximise efficiency
* Represent the business externally, maintaining strong relationships and enhancing Vitality’s image
* Maintain accurate records of expenses, invoicing, absence, and annual leave for direct reports
* Manage email correspondence, prioritising, responding, and delegating as needed in managers’ absence
* Prepare documents in line with brand and regulatory standards, handling confidential and business-critical information sensitively
* Make cost-effective travel arrangements and manage related bookings
* Establish and maintain effective administrative systems for document storage and retrieval
* Carry out routine admin tasks such as photocopying and collating information
* Ensure compliance with Vitality’s Code of Conduct and complete mandatory training
* Monitor and control financial commitments and payments in line with delegated authority
What do you need to thrive?
* Intermediate knowledge of IT software packages including Word, Excel, PowerPoint and Outlook
* Comfortable with the use of Microsoft Teams and Zoom
* Significant PA/secretarial experience
* Experience in taking verbatim minutes in senior meetings
* Ability to manage a busy and challenging diary
* Ability to prepare and organise complex travel itineraries
* Impeccable communications skills, both written and verbal
* Strong organisational and administrative skills
* Capable of working under pressure, using own initiative and with minimal supervision
* Flexible working style
* Ability to work in a team environment, using initiative and working under pressure to set deadlines
