More about the Role
The DTM X3 Administrator plays a key role within the DTM Supply Chain function, supporting X3 sales invoice processing, inventory updates and direct sales activity. The role works closely with Global Operations teams, GSC and Finance to ensure accuracy, timeliness and strong data integrity across systems.
The position also provides administrative support to the Global Inventory Manager on supply chain related projects and supports annual stock checks and positioning cost management.
Key Responsibilities of the Role Includes
* Monitoring Global Service Centre (GSC) performance to ensure X3 is updated accurately and on time
* Acting as the central point of contact for X3 processing issues and troubleshooting
* Running daily invoicing reports, processing equipment data from Flow and CW1 systems and generating IEX sales invoices
* Resolving data integrity issues with internal offices, including serial numbers and kit allocations
* Supporting increased automation of orders interfacing into X3 to reduce manual input
* Raising manual sales invoices for miscellaneous equipment and ancillary items
* Managing invoice and pricing queries and supporting X3 system queries as required
* Reviewing orders in transit, updating ETAs and ensuring accurate receipt into depots
* Managing internal and external IEX Direct Sales orders from receipt through to billing and delivery tracking
* Managing and collating equipment positioning costs for biannual price updates
* Monitoring actual versus accrued positioning costs and supporting cost variance resolution
* Calculating and invoicing pro‑rata shipping costs where applicable
* Supporting the annual stock check process for allocated countries, including reconciliation of discrepancies
* Providing administrative and project support to the Global Inventory Manager on supply chain initiatives
Your Profile - Skillsets and Attributes
Technical & Professional Skills
* Strong numeracy skills with high attention to detail
* Experience working within an office administration or finance environment
* Sound knowledge of Microsoft Office applications, particularly Excel, Word, Outlook and Teams
* Comfortable working with systems and data‑driven processes
Personal Skills
* Highly organised with the ability to manage multiple tasks and priorities
* Strong written and verbal communication skills
* Logical thinker with a proactive approach to problem solving
* Ability to work effectively with global stakeholders
Qualifications
* A Level or equivalent qualification
* Additional language skills are beneficial but not essential
