About the role
The position provides administrative support and general task management with a customer-focused Executive Assistant (EA) service to Leaders within Homes England. To enable the effectiveness of Senior leaders by providing a professional, proactive Executive Assistant service which drives us to work with impact and excellence every day.
The successful candidate will have frequent contact with Executive Leaders, Senior Leadership Team, and the Wider Leadership Team, as well as liaising with other teams within Homes England such as HR, finance, legal, risk, IT, and other corporate functions.
They will attend Directors Group, Board, and Board sub-committees and maintain positive ties with the Ministry for Homes, Communities and Local Government (MHCLG), other government departments, industry contacts, suppliers, and stakeholders.
Key responsibilities
1. Manage the Director’s schedule, acting as the central point of contact and ‘gatekeeper’, with flexible diary management to accommodate changing priorities. Proactively monitor the Director’s inbox, address routine inquiries, and keep the Director informed of important matters.
2. Handle incoming requests with speed, accuracy, and confidentiality, managing priorities and deadlines effectively. Support governance issues and escalate when necessary.
3. Draft and format reports, letters, publications, prepare presentations, and ensure timely meeting paper readiness, highlighting key decision points.
4. Distribute content to stakeholders, review meeting minutes, track future meetings and conferences, and organize meeting cover arrangements.
5. Coordinate business meetings internally and externally, including preparing agendas, distributing minutes and papers, following up on actions, and arranging travel and accommodation.
6. Make cost-effective travel arrangements, ensuring optimal use of time and resources.
7. Provide administrative support for processes such as recruitment, onboarding, induction, 121s, and performance reviews, as well as visits and events.
8. Collaborate with Engagement & Internal Communications teams to coordinate engagement activities like townhalls, all-staff briefings, and staff surveys.
9. Contribute ideas for continuous improvement within the organisation and the EA team.
About you
We are looking for someone with:
* A core qualification in Business Administration or equivalent experience, including proficiency with Microsoft Office.
* Experience providing excellent executive support at Director level or above.
* Strong communication and customer service skills, especially with senior leaders and stakeholders.
* Experience working with multiple stakeholders and effective stakeholder management skills.
* Ability to work independently with proactive thinking and high initiative, following tasks through to completion.
* Experience in large/complex organisations across multiple sites.
* Excellent time management, planning, and prioritisation skills.
* Ability to work effectively under pressure and support busy teams.
