We are currently seeking an expert individual to join this team in the role of Executive Assistant within the HBUK Finance team.
Responsibilities
* Work with Finance MDs within all aspects of their daily work routine such as day‑to‑day diary management, including scheduling meetings, appointments and reviewing time, exercising discretion in committing time and evaluating needs.
* Support the team by organising workshops, events and meetings as required, including minutes and action tracking, logistics (e.g., book meeting facilities, catering and IT / AV support).
* Handle travel bookings to tight timelines and expense management.
* Collaborate with relevant internal stakeholders across all lines of business and functions as required, acting as a point of contact for the team.
* Maintain various department records on behalf of the function (e.g., FTE lists and organisation charts).
* Cover other HBUK Finance Executive Assistants as required.
Qualifications
* Demonstrable experience in an EA/administrative support role.
* Excellent organisational skills with experience building and maintaining strong relationships with senior stakeholders of all levels of seniority.
* Strong time‑management skills with the ability to multitask, prioritise and move tasks at very short notice whilst remaining calm under pressure.
* Pro‑active, flexible and highly energetic, with the ability to resolve issues using own initiative and paying attention to detail.
* Strong verbal and written communication skills.
* Ability to collaborate with other Executive Assistants.
* Understanding of frequently used computer software and programs such as Microsoft Office.
The base location for this role will be Birmingham with a hybrid working pattern.
