Position Overview

1. To provide a comprehensive and efficient administrative service to the Food & Beverage team
2. To manage the office environment providing an exceptional guest and colleague experience, by maintaining office essentials, coordinating administrative duties and anticipating customer needs in a professional manner ensuring a seamless service experience

What you'll do

F&B Administration

16. Typing and sending all F&B department’s related correspondence, menus etc. including those relating to some restaurant enquiries and confirmations
17. Compose letters on behalf of the F&B team in line with Coworth Park standards
18. Type special menus for groups, promotions etc. and other menus as required
19. Operate and manage the computer system according to office procedures, filing documents in a logical and easily accessible system
20. Maintain an up to date filing system and accurate trace system
21. Manage office supplies and hotel collateral, ensuring enough stationery is available and stocked
22. Sort, date stamp, distribute and collate post for F&B team and frank all outgoing mail
23. Answer the telephone within three rings in a friendly, courteous and efficient manner, providing accurate information to the caller
24. Meet and greet visitors, create a warm welcome, conduct show rounds and deal with all enquiries professionally
25. Assist in research for promotions, projects and competitor’s analysis etc.
26. Attend meetings and take minutes as required.
27. Ensure office, kitchen and reception areas are kept tidy and clean at all times
28. Receive and coordinate pick up of deliveries
29. Coordinate meeting room diary and ensure meeting room is set up accordingly

Restaurant Reservations

30. Take reservations and accurately record any special requirements, payment and contact details
31. Confirm reservations both verbally and in writing ensuring special requirements are referred to
32. Respond to all external and internal F&B enquiries (via email or website) within 24 hours
33. Ensure timely and efficient internal communication on all details to a reservation e.g. menu and wine choice, final number of guests, menu/place card requirements etc. to relevant departments

Health & Safety

34. Comply with all statutory and company health and safety, fire, bomb and security regulations
35. Ensure job required certificates are kept up to date

Flexibility

36. Along with your main duties you may be asked to complete other tasks and duties as and when necessary and reasonably required
37. You may on occasion be required to adjust your hours of work to cover the business needs

What you'll bring

38. Hospitality background
39. Previous experience within an operational role
40. Strong administration skills with office management experience
41. Proficient in MS Office
42. Previous experience in Opera and Delphi
43. Knowledge of food & beverage
44. Excellent written and spoken English
45. Good organisational skills
46. Can work to deadlines within a pressurised environment
47. Takes initiative
48. Immaculate presentation
49. Ability to prioritise work load
50. Team player
51. Experience of taking minutes at meetings
52. Self-starter
