Production Administrator

We provide best in class mission specific surveillance and special purpose aircraft of different types and sizes, as well as camera modules and other payloads, for public sector services, private security and defence. Role Summary
The Production Administrator plays a critical role in ensuring that UAV production runs efficiently, on schedule, and in compliance with internal and industry standards. You will support production planning, update documentation and systems, coordinate between internal teams, track materials/components, and manage day-to-day administrative tasks that keep manufacturing progressing smoothly.
Key ResponsibilitiesProduction Scheduling & Workflow Support
* Assist in creating and updating work orders, job cards, build travellers, and production schedules.
* Track production progress against plan and highlight risks, delays or material shortages.
* Coordinate with procurement and stores to ensure timely availability of components for UAV builds.
* Support resource planning (materials, labour, tooling) for ongoing and upcoming production cycles.
Documentation & Data Management
* Maintain accurate records of production output, component usage, WIP (work-in-progress), and inventory movements.
* Assist in the Update and management Bills of Materials (BOMs), production documentation, assembly instructions, and controlled documents.
* Enter and maintain data in our ERP system during the manufacturing process and support the implementation of process improvements.
* Assist in preparing regular operational reports (daily/weekly/monthly) for management.
Cross-Functional Coordination
* Work closely with Engineering, Procurement, Quality Assurance and the Production Manager to ensure workflow continuity.
* Coordinate communication between production floor and office-based teams.
* Support materials handling activities including goods-in processing, delivery note reconciliation, internal transfers and stock takes.
Quality, Compliance & Process Support
* Support quality documentation, traceability recording, NCR logging, and production sign-off processes.
* Help maintain compliance with aerospace/UAV standards where applicable (traceability, document control, process consistency).
* Assist with continuous improvement initiatives across operations.
General Administrative Duties
* Maintain production filing systems (digital and physical).
* Schedule team meetings, maintain calendars and support general operational administration.
* Organise documentation for shipments, dispatch, and customer order fulfilment when required.
Person Specification
Essential Skills & Experience
* Strong administrative, organisational and planning skills.
* Excellent attention to detail when handling production data and documentation.
* Confident using Microsoft/Google applications. (Mac and Windows Hardware used)
* Experience with ERP/MRP, inventory or manufacturing systems (or willingness to learn quickly).
* Ability to handle multiple tasks, prioritise effectively, and meet deadlines.
* Clear communication skills and ability to coordinate across multiple departments.
* Proactive mindset with willingness to step in and help solve problems.
* Previous experience in production administration, supply chain support, or planning roles.
* Familiarity with BOMs, job cards, build routes or manufacturing workflows.
Desirable (Not Essential)
* Experience in manufacturing, engineering, aerospace, or similar technical sector.
* Experience in a regulated environment (aerospace, defence, electronics, ISO).
* Interest in drones/UAVs, robotics, or advanced engineering technologies.
