The Reception & Office Manager is a key operational role within Filtronic plc, responsible for setting the standard for front-of-house professionalism and ensuring the effective, well-governed day-to-day operation of the office.
As the first point of contact for the business, the role combines senior reception responsibilities with office leadership, executive support, travel and meeting coordination, and oversight of workplace experience. The role operates with a high degree of autonomy and judgment, acting as a trusted point of coordination for senior leaders and supporting facilities-related coordination and activities when required. This is what we're looking for:-
Front-of-House Leadership
* Act as the professional face of Filtronic, setting and maintaining high standards for front-of-house and visitor experience.
* Own and continuously improve reception processes, visitor management, and first-impression standards.
* Manage visitor access, security procedures, and on-site protocols in line with company requirements.
* Handle incoming communications with discretion, prioritisation, and sound judgment.
* Ensure reception, meeting rooms, and shared spaces consistently reflect a professional corporate environment.
Executive & Leadership Support
* Provide proactive, high-quality support to senior leaders, anticipating needs and exercising sound judgment.
* Manage complex diaries, meetings, briefings, and internal reviews.
* Coordinate domestic and international travel in line with policy, cost, and governance requirements.
* Support preparation and logistics for leadership, operational, and governance meetings.
* Act as a trusted point of contact for senior stakeholders, partners, customers and visitors.
* Handle confidential and sensitive information with absolute discretion.
Travel, Meetings & Governance Support
* Own the coordination of internal and external meetings, including scheduling, rooms, catering, and multi-media.
* Proactively manage changes, conflicts, and last-minute requirements with minimal escalation.
* Ensure travel and meeting arrangements comply with internal processes and approval frameworks.
* Maintain oversight of meeting room utilisation and related systems.
Office Leadership & Workplace Coordination
* Take ownership of the day-to-day coordination of the office, ensuring a smooth, efficient, and professional working environment.
* Manage office supplies, equipment, refreshments and service providers to agreed standards.
* Act as a key coordination point for workplace issues, escalating appropriately and resolving matters pragmatically.
* Support health & safety and compliance activities in collaboration with relevant teams.
* Support facilities-related coordination and activities when required.
* Maintain clear, accurate office records, procedures, and documentation.
Company Events & Workplace Experience
* Lead the planning and coordination of internal meetings, site visits, and stakeholder events.
* Oversee event logistics including venues, catering, travel, materials, and communications.
* Contribute to employee engagement initiatives and internal events that enhance workplace culture.
* Ensure events and visits reflect Filtronic’s professional and corporate standards.
Systems, Budget & Process Ownership
* Own and maintain office-related systems including visitor management, meeting rooms, and travel tools.
* Raise purchase orders and process invoices for office-related expenditure.
* Monitor office costs, exercising commercial awareness and budget discipline.
* Ensure records and processes align with internal controls, audit expectations, and GDPR requirements.
Continuous Improvement & Business Support
* Actively identify opportunities to improve office operations, efficiency, and service standards.
* Implement process improvements that enhance professionalism, consistency, and effectiveness.
* Support onboarding logistics for new starters, ensuring a polished and well-coordinated experience.
* Provide broader administrative and operational support where required to ensure the effective running of the business.
Requirements
Essential Experience
* Significant experience in an Office Manager, Reception Manager, or comparable role.
* Proven experience supporting senior leaders in a complex, professional environment.
* Strong track record coordinating travel, meetings, and high-profile visits or events.
* Experience operating with autonomy, ownership, and sound judgment.
* Demonstrated ability to handle confidential and sensitive information at senior level.

* Professional communicator with strong stakeholder management skills.
