We’re looking for an Operations Assistant to join our Client Administration team and play a key role in delivering a seamless and high‑quality service to our clients. This is a great opportunity for someone who enjoys variety, problem‑solving, and working collaboratively within a supportive team environment.
In this role, you’ll help make sure our client on boarding and administration processes run smoothly. You’ll work across a range of operational tasks- from document screening and account opening to managing queries and supporting project work. Your contribution will directly support the excellent level of service we aim to provide.
Client Onboarding
1. Reviewing Anti‑Money Laundering (AML) documentation across a variety of account types, including GIAs, ISAs, Pensions, OPBs, and Trusts.
2. Validating key documents such as cheques and W‑8 forms.
3. Setting up new client accounts and monitoring accounts pending completion.
4. Responding to onboarding queries with accuracy and within agreed service levels.
Client Administration
5. Managing deceased account processes, including probate valuation requests.
6. Processing account closures and calculating/deducting closing fees.
7. Allocating valid W‑8 forms and tracking any expiring documentation.
8. Completing periodic reviews of provider signatory lists.
9. Making static data amendments and processing client or provider payments.
10. Handling ISA subscriptions, internal journals, and other client account updates.
11. Setting up regular payments, income sweeps, and standing orders.
12. Applying ad hoc charges (custody, adviser, management, valuation fees, etc.).
13. Resolving administration queries efficiently and in line with service standards.
14. Continuously developing knowledge of the Raymond James operating environment.
General Responsibilities
15. Ensuring records and internal controls are kept accurate and up‑to‑date.
16. Contributing to departmental procedure manuals.
17. Monitoring team workflow and shared mailboxes to support timely processing.
18. Staying informed about regulatory and industry developments through reading, training, and seminars.
19. Supporting the on boarding of new offices into the business.
