Following the deployment of a new Target Operating Model during late summer 2025, we have been delivering a 3 month fast-paced transition programme to move into a new structure across our 3 key operational areas:

The RMS Transition Programme, which delivers significant people, technology and process changes, will conclude on 31 October 2025. Further work will continue to embed the new operating model into business as usual (BAU) activity.
Your Role
You will act as an Executive Assistant to the 3 Directors in the RMS Leadership Team, as well as working with the Equity Partners, supporting them in the execution of critical plans for post-transition deliverables and success. This role is being offered on a part-time basis of 4 days a week.
You will play a critical role in enabling leadership effectiveness and organisational continuity, helping the RMS function embed successfully and deliver lasting value across the organisation.
Key responsibilities:
* Co-ordinate agreed leadership team milestones, supporting with leadership meetings & reporting to ensure effective communication, information flow and commitment to key deadlines.
* Improving quality and consistency of communications across RMS leadership teams.
* Enhancing productivity through effective planning and prioritisation support for the Directors.
* Supporting the Directors with key initiatives including operational updates, change programmes and staff engagement.
* Co-ordination of multiple complex email inboxes and complex schedules by proactively managing the time and priorities demonstrating an understanding of the individuals and firm priorities.
* Exercise discretion by dealing with highly sensitive and confidential information appropriately.
* Act as trusted gatekeeper, anticipating challenges and raising issues before escalation.
* Applying an understanding of operational and firm structures & hierarchies, to enable appropriate prioritisation.
* Supporting on legal document production and amendments (including letters, presentation etc) demonstrating a good eye for detail and an appreciation of house style.
* Manage and coordinate travel itineraries and expenses, including booking of trains, flights and accommodation.
* Schedule, and where needed facilitate, meetings and appointments, including booking meeting rooms, setting up virtual meetings. Where appropriate prepare papers and agendas, attend meetings and take minutes.
* Undertake additional responsibilities on key operational activities to meet business requirements, as needed.
Your Skills and Experience
The role requires a highly self-motivated, dedicated and forward-thinking person who possesses excellent commercial awareness and communication skills.
In addition, this role requires:
* Experience within previous PA roles preferably looking after multiple stakeholders at senior level manging complex and confidential diaries and emails.
* Experience of managing demanding schedules and supporting the delivery of strict deadlines on multi-team projects.
* Previous experience supporting with change programmes is highly desirable.
* Previous experience in a legal environment would be beneficial although not essential.
* Excellent time management and attention to detail.
* Exceptional communication skills, both written and verbal.
* Confident self-starter, able to take ownership, work proactively, think ahead and multi-task in a fast-moving environment with the ability to cope with a wide range of competing demands and changing priorities.
* Exceptional organisational skills.
* Confidence in decision making and prioritisation of tasks.
* Sensitive and diplomatic management of multiple high-level stakeholders with a high level of confidentiality and the ability to handle confidential information appropriately and work with discretion
* Excellent knowledge of MS Office (including functionality to support document mark-up, version control etc). Previous experience of Teams and SharePoint plus an understanding of the iManage or similar document management system and document compare platforms would be beneficial.
* Previous experience using project management software is desirable although not essential.
