Outpatients Reception Team Leader

Band 3 | 36 hours per week | Fixed term contract until 3 May 2026
The hours are Monday to Friday and include bank holidays and weekends as required. Rota cover is required between 8am and 8pm. The successful candidate must be able to support the flexibility of the rota and work the agreed pattern.
We are looking to recruit a reliable and enthusiastic individual to join a busy team in providing a professional and effective Reception and Clerical service for the Trust’s Outpatients Service.
The post holder will be based across the General Outpatient Reception areas. Customer service skills and computer literacy are essential as you will input and extract information from various Trust Patient Administrative Systems, book treatments and appointments.
The successful candidate will assist in planning and circulating the weekly rota for all General Reception areas, provide day-to-day support in staff management including back-to-work interviews, allocation of workload, appraisals, training and mentoring. Line management experience is desirable for this role.
This role may require physical effort at times when preparing and managing patients’ Medical Records.
To provide an efficient Outpatient Reception service maintaining a high level of customer service, accuracy and confidentiality at all times. Welcoming patients, verifying and updating patient details, directing patients to the correct clinic area and ensuring follow-up activity is captured and booked in a timely manner. This will include using current patient administration software and effective communication with patients and Trust staff.
To support the Outpatient Supervisor and Assistant Directorate Manager in providing an efficient and effective Outpatient Reception Team on a daily basis. The Reception team administers and directs patients and relatives in accessing the appropriate area or service in a courteous, efficient and effective way. You will undertake a variety of administration duties to assist in the smooth running of the service and reception area you are allocated to each day. Support with the line management of Outpatient Reception Clerks.
The successful candidate will have good communication and customer service skills, be friendly and caring while maintaining a professional approach, and be able to evidence accuracy and attention to detail at all times. An appreciation and understanding of the confidential nature of the work is essential. You should be able to work as part of a very busy team and on your own initiative.
