Description
The Professional Services Administrator / Assistant is required to provide key administrative and business support for a couple of Vice Presidents in EMEA. The EA will have the ability to exercise good judgment and confidentiality in a variety of situations, with strong written, verbal communication, administrative, and organizational skills, along with the ability to maintain a realistic balance among multiple priorities. This is a full time, permanent role and you will be required to work 3 days a week from our office in Farnborough.
A Typical Day in the Life Includes:
* Arrange and manage rapidly changing and complex calendars on a global scale
* Manage domestic and international travel, flights, hotels, and ground transportation
* Participate in management team calls, issue agendas, take minutes and monitor actions
* Event coordination and project management for executive(s) and customer visits
* Coordinate divisional workshops, team events, offsites and town halls
* Process expense reports, ensuring accurate cost allocation and adherence to expense policy
* With extensive experience/knowledge in Tecom/Freezone visa processing
* Ensure all employees' new visa/ renewal processes are completed in a timely manner
* Issue HR letters (e.g., salary certificates, employment letters, NOCs)
* Review and prioritize emails and follow up on urgent action items
* Assist with PPT presentations
* Communicate in a positive and professional manner with internal and external clients on behalf of their executive
* Type letters, reports and other correspondence as required
* Provide general administrative support
Basic Qualifications:
* Proven experience of supporting senior executives within a high-paced environment
* Exceptional written and oral communication skills
* High level of flexibility and adaptability
* The ability to multitask and prioritize an everchanging workload
* Excellent word processing and IT skills
* The ability to work under pressure and to tight deadlines, strong sense of urgency
* Good organizational and time management skills
* Excellent interpersonal skills
* Strong attention to detail
* Discretion and an understanding of confidentiality issues
