At Aquaterra Energy we specialise in providing engineering solutions and equipment to the global offshore energy industry - helping clients drive efficient and sustainable offshore operations from drilling and field development, to decommissioning, carbon capture and storage, renewable and hydrogen projects.
Aquaterra Energy is seeking a highly organised and detail-oriented Delivery Controls Coordinator to join our Delivery team based at our Norwich office. This full-time role will support a range of project delivery functions, focusing on document control, project coordination, and procurement support to ensure efficient and compliant project execution.
Key Duties and Responsibilities
Document Control
1. Manage the Project Document Control mailbox; act as the main point of contact for document-related queries.
2. Liaise with and support the Delivery team on all aspects of document control and compliance.
3. Oversee daily document control activities: registration, issue, transmittals, receipt of comments, and document revisions.
4. Develop, maintain, and administer the electronic document control system and track documentation via the Master Document Register (MDR).
5. Ensure timely turnaround of internal and external documentation to support project timelines.
6. Review and verify incoming and outgoing documents for completeness, formatting, and compliance with company and client requirements.
7. Coordinate and compile Manufacturers Record Books (MRBs) and project data packs.
8. Identify and implement improvements to document workflows, version control, and traceability.
9. Manage procurement document control processes, including communication with suppliers and timely documentation distribution.
10. Ensure conformance to the company’s Quality Management System (QMS) by accurately storing and referencing standards, policies, and procedures.
Project Coordination & Administrative Support
11. Provide day-to-day project support including project file setup, creation and management of project folders, codes, and documentation structures in line with internal procedures.
12. Support development of project scopes, objectives, work plans, and schedules.
13. Assist in the preparation and submission of client project reports.
14. Contribute to improving project management tools, templates, and administrative processes.
15. Track and report Management KPIs related to project delivery; support in identifying and recommending corrective actions
Procurement Support
•Assist the Procurement Manager in supplier engagement, performance monitoring and identifying cost-saving opportunities.
•Support supplier sourcing and evaluation, including maintenance of qualification records, quotations and performance history.
•Place purchase orders in line with project needs and company procurement procedures.
•Review and refine procurement workflows in collaboration with the Procurement Manager to ensure efficiency and compliance.
About you:
16. Proven experience in document control or project coordination, preferably in the oil and gas or engineering sectors
17. Excellent organisational skills and attention to detail
18. Familiarity with document management systems and microsoft office applications
19. A proactive mindset with drive for improving processes and efficiency.
