Senior Tenders and Contracts Specialist
Location:
Newbury, UK.
Contract:
Permanent Contract.
Hybrid:
On average, 2 days per week on-site, with flexibility for more.
Role Overview:
In collaboration with the Associate Commercial Manager/Team Leader, you will manage the entire tender process—from identification to evaluation. You will lead tender activities and coordinate with Legal, Sales, Finance, Product Management, and other relevant functions to ensure compliance with each tender's terms and conditions.
You will serve as the first point of contact for legal inquiries related to customer contracts, working closely with legal counsel and sales teams to manage the contract database. The aim is to enhance the efficiency of contract compliance tracking and management processes.
Key Responsibilities:
1. Scout tender opportunities through relevant platforms and websites.
2. Manage the Go/No-Go decision process with stakeholders and record consensus.
3. Register tenders in Nexus for direct and indirect submissions.
4. Review and understand tender requirements and terms.
5. Lead tender kick-off, pricing, and lessons learned meetings.
6. Create tender action plans with Gantt charts, including tasks, documents, RACI, and deadlines.
7. Coordinate multidisciplinary teams for tender activities.
8. Review tender submissions and obtain approvals per the DOA matrix.
9. Communicate timelines and updates proactively to stakeholders.
10. Create Teams channels for tender documentation and tracking.
11. Support pricing evaluations with current and previous tender data.
12. Provide competitor information to divisions and pricing teams.
13. Evaluate tender outcomes and provide award analysis.
14. Continuously improve the tender process and communicate customer feedback.
15. Manage and update the regional COE content library.
16. Maintain tender forecasts and pipelines for senior management.
17. Manage distribution of draft and final contracts.
18. Oversee contract renewals and compliance using Nexus and other tools.
19. Maintain an accessible and organized contract management system.
20. Track sales and volume performance against customer commitments.
21. Update opportunity trackers and pipelines.
22. Gather market intelligence on competitor contracts with sales teams.
Qualifications and Skills:
* Relevant experience in Tenders & Contracts preferred but not essential.
* Bachelor’s degree in Business Administration, Economics, Law, or related field.
* Proficiency in MS Office (Word, PowerPoint, Excel).
* Ability to multitask and manage multiple projects efficiently.
* Strong discipline, organizational skills, and ability to meet deadlines.
* Structured, articulate, and process-oriented approach.
* Detail-oriented and results-driven.
* Diplomatic team player with excellent communication and writing skills.
