Main Duties and Responsibilities Reception & Front Desk Opening and closing the practice in line with security protocols Providing a friendly and efficient reception service for patients, carers, and visitors Handling appointment bookings (in person and by phone), including home visits and telephone consultations Answering general enquiries and directing patients appropriately Giving out prescriptions to patients or their representatives Managing the reception area, keeping it tidy and organised Administration Processing incoming and outgoing mail Filing, retrieving, photocopying, scanning, and general clerical work Handling repeat prescription requests in line with Practice protocols Data entry and updating clinical systems Monitoring stationery and informing relevant staff when supplies are low Coordinating with couriers for samples and documentation Communication & Messaging Responding to internal Day Book tasks and messages Taking and passing on messages accurately to GPs and other team members Recording all calls and patient interactions in the medical record Coordinating visit requests in accordance with Practice policy Liaising with external agencies, hospitals, and community services Patient Care & Environment Preparing consulting rooms for clinical use (e.g., turning on systems, ensuring tidiness) Restocking clinical rooms as needed Assisting clinicians as a chaperone when required Triaging patients to other services where appropriate (e.g., voluntary sector) Assisting in complaints handling by informing patients of the Practices procedures Ensuring kitchen and staff areas are clean, and refreshments are provided as needed Managing clinical waste appropriately Keeping noticeboards and information areas up to date and clutter-free Requirements of the Role Essential: A strong understanding of the need for confidentiality, good judgment, resourcefulness, and local knowledge, excellent communication skills, a courteous and professional manner, confidence in using IT systems (full training provided) Desirable: Previous experience in a GP practice or healthcare setting Team Responsibilities Foster a supportive and communicative working environment Support colleagues and maintain a collaborative team culture Be flexible in providing cover and supporting day-to-day operations Assist with the smooth running of both the main and branch sites Confidentiality You will have access to sensitive patient and practice information.
