12 Month, Fixed Term Contract

Salary - £24,647.00 - £26,763.00 depending on experience, plus Serco benefits.


Main Purpose:

Provide an excellent administrative service to Forth valley Royal Hospital.

Ensure information is kept confidential and secure, produce reports, take minutes of meetings, and organize and maintain appropriate administrative systems to support service delivery.

The post holder will be a key contributor to communication within the contract, supporting communication on the contract; ensuring the communication boards are up to date and appropriate posters are displayed.

The post holder will support the Absence and Wellbeing program within the hospital.


Main Accountabilities:

1. Provide administrative support to all managers and team members at Forth Valley Royal Hospital.
2. Process sensitive and confidential information.
3. Perform general admin duties such as filing, typing, photocopying, scanning, binding, and distribution of documents.
4. Support meetings: prepare and circulate agendas, minutes, and briefing materials.
5. Produce minutes, reports, presentations, and correspondence.
6. Take minutes at sickness, conduct, and welfare meetings.
7. Send HR meeting invite letters and outcome letters.
8. Review and prioritize work within agreed parameters.
9. Run reports from bespoke software and present data in graph format.
10. Work under the guidance of the Soft Services Advisor, using own initiative within defined parameters.
11. Assist with HR projects such as recruitment or new initiatives.
12. Prepare invite letters for staff training.
13. Provide contingency cover for mandatory training and payroll when required.
14. Perform any other ad hoc duties as required.


Requirements for the Role:

* Extensive experience with IT systems, software, and networks.
* Strong Microsoft Office skills, especially in Word, Excel, PowerPoint, Publisher, and Access.
* Exceptional organizational and administrative skills.
* Ability to multitask and work under pressure to meet deadlines.
* Adaptability to a fast-changing environment.
* Professional demeanor and interpersonal skills.
* Ability to prioritize workload.
* Flexibility to undertake any other tasks as needed.
* Effective communication skills (written and verbal).
* Good math and English language skills.
* Ability to work well in a team, use own initiative, and work efficiently.
* Creative skills for communication purposes (e.g., posters, display boards).
* Effective communication with all levels within the contract.


Physical Demands / Skills:

* Extended working days to meet service needs.
* Occasional dealing with dissatisfied or distressed staff, patients, and visitors.
* Negotiating with customers to achieve outcomes.
* Maintaining verbal and written communication systems within the department.
