Overview
We have an exciting opportunity for an Events Services Assistant to join our team. You will report to the Events Manager and work collaboratively with the Events Production Co-Ordinator and F&B Services Manager. The Events Crew plays a vital role in delivering seamless events experiences. This role requires a hands-on approach, a proactive attitude, excellent customer service skills, physical stamina and the ability to work collaboratively within a fast-paced and often ever-changing environment.
Main Responsibilities
* Event Setup and Operations: Assist in setting up and breakdown of events spaces, including staging, lighting, sound equipment, seating as per all External and Internal requirements. Ensure all event areas are clean, organised, and fully prepared before guest arrival. Provide concierge support throughout delegate arrival periods ensuring good first impressions of the venue and MTC Events team. Always adhere to Health & Safety guidelines and ensure PPE is worn. Prepare and arrange meeting rooms to the highest standard, ensuring furniture, equipment, and materials are correctly set up. Restock and organise meeting room supplies including stationery. Conduct final quality checks to ensure a professional and welcoming environment. Attend weekly function sheet / Ops Meetings. Attend morning kitchen briefing. Ensure storage areas are secure, and housekeeping is always to a high standard. Must commit to Fire Warden duties. Maintaining fabric of meeting rooms which could include paint touch ups.
* Audio-Visual Setup and Support: Setup, test, and operate AV equipment, including microphones, projectors, speakers, video conferencing systems, lighting, and staging. Ensure all AV equipment is functioning correctly before and during events. Assist presenters and speakers with technical support as needed. Troubleshoot and resolve minor technical or operational issues. Work with the Events Production Co-Ordinator to ensure seamless AV integration for all events.
* Concierge Services: Welcome and assist guests, providing directions and information. Handle guest inquiries and special requests in a professional and friendly manner. Co-ordinate with event organisers, Events Production Co-Ordinator and F&B Services Manager to enhance the guest’s experience. Manage VIP Arrivals and provide dedicated support as needed.
* Food & Beverage: Assist the F&B Services Manager in setting up and clearing F&B stations for meetings and events. Assist in keeping service points stocked, cleaned and presented to a high standard. Provide basic service assistance, such as replenishing supplies and clearing service stations. Support the F&B team during high-demand periods, ensuring smooth F&B service.
* Car Park Management: Direct vehicles to designated parking areas and manage barriers for efficient entry. Assist guests with parking, EV charging and accessible pay inquiries and provide clear guidance. Work with the Operations & Services Manager to ensure safety and orderliness of parking areas. Position road signage and flags to ensure delegates are directed to the appropriate car parks on the approach to the MTC, AMTC and Sopwith Buildings. Remove signage prior to weekends and ensure they are kept in good order.
Person Specification
Essential Skills/Qualifications/Experience
* First Aid
* IOSH Working Safely Certificate
* Level 2 Food Hygiene Certificate
* Allergen Awareness Certificate
* Clean, Full UK Driving Licence
* Strong communication and interpersonal skills
* Ability to work well in a team and follow instructions
* Previous experience in event set up, AV operations, hospitality, customer services, or facilities management is an advantage
* Physically fit and able to lift/move heavy equipment
* Ability to work flexible hours, including evenings and on occasions weekends
Desirable Skills/Qualifications/Experience
* Previous experience in events, hospitality, or facilities management
* Experience in concierge services or guest relations
* Knowledge of AV equipment, including troubleshooting sound and visual systems
* Experience in car park management
* Customer service training or experience handling VIP guests
* IPAF Licence to safely operate MEWP’s
