We are looking for a Personal Assistant toplay an integral role in our Digital Team, supporting directors, managing diaries effectively and providing high quality support as a first point of contact for internal and external stakeholders. You will work closely with Directors to understand their priorities and preferred working styles. Using your initiative, you will manage and prioritise busy diaries and inboxes to ensure smooth day-to-day operations. Your responsibilities will include scheduling meetings, coordinating papers, tracking deadlines and actions, engaging with stakeholders, and arranging travel. Please note: This role is aligned to our Cardiff office where you would be expected to attend on a regular basis as the role requires. Security Clearance is essential for this campaign. Job description The Personal Assistant plays a key role in helping our Executive and Senior Leadership Team (STL) prioritise their tasks so they can optimise decision-making and make the best use of their time for the benefits of the whole organisation. In this role you will be: Managing multiple diaries, arranging meetings. Ensuring that meetings and appointments are scheduled appropriately and conflicts are resolved. Managing inboxes, prioritising papers, correspondence and actions that senior colleagues need to review. Providing ad-hoc admin support to the Directorate. Making travel arrangements within UK and overseas. Planning and coordinating visits for external visitors. Working to agreed deadlines and protocols. Required to support other PA's as needed by covering work to additional Directors. Supporting Directorate wide events and communications, providing administration, coordination and creative support. Working with the Business Manager to ensure the smooth administration of Directorate wide initiatives and activities. Supporting the activities of the Business Manager, providing cover during periods of absence. Please note: due to the requirements of this role the Personal Assistant is as an active presence through the week. A 5-day working week is the preferred working pattern for this role. You will be aligned to our Cardiff office, where you will be expected to attend on a regular basis.
