Job Description
As the Accounts Assistant based from Old Woking, Surrey you will be responsible for:Duties and Responsibilities:Cashbooks Management
3. Maintain cashbooks, post receipts and payments in Sales and Purchase Ledgers, in a timely manner to keep accurate and up to date records. Post nominal entries for cash transactions and as instructed
4. Check supplier statements and communicate with the Purchasing Dept. and suppliers as necessary
5. Monthly Bank Reconciliations on all bank accounts
6. Generating reports from accounting software
7. Create BACS payment instructions as required for authorization
8. Generate and send remittance advices
9. Manage petty cash in foreign currencies and its records
Credit Control/Receivables
10. Keep Sales Ledger/Receivables up to date together with CRM notes.
11. Generate statements and forward to customers
12. Liaise closely with the Sales Dept. to manage and contact Debtors as necessary
13. Check payment history/order status and advise dispatch/non dispatch of goods for orders over credit limit.
14. Generate 'Debtors' List' weekly and monitor balances and credit terms
15. Obtain credit report and review credit history for existing customers as requested by the head of Sales via the Finance Manager and consult Finance Manager on new credit terms to be authorised by both Finance Manager and head of Sales.
16. Generate letters of demand and keep records
Purchase Invoices, Payables and Expenses
17. Post supplier invoices on the system to match Purchase Orders
18. Liaise with other departments as necessary for payment authorizations
19. Process supplier payments by BACS following approval from the Finance Manager.
20. Receive instruction from the Finance Manager and process BACS payment for group companies.
21. Communicate with suppliers as and when required.
22. Liaise with company credit card holders for personal expenses and cash expenses.
23. Maintain electronic invoice/credit files .
Sales Ledger
24. Responsible for ensuring that all entries made in Sales Ledger by sales administrators are correct and in line with instructions given from time to time to Sales Administration team, so data on the Sales Ledger can be posted to appropriate analysis codes in the Opera system and FX.
25. Liaise with IT Specialist & Data Management Analyst and sales administrators as and when necessary to ensure that all possible issues can be prevented or resolved swiftly if occurs
VAT Returns - monthly
26. Generate VAT analysis file, authorized by FM, and submit VAT Return online
Assisting Head of the Department
27. Posting month end journals and assisting with month end reporting
28. Research information as requested by the department head
29. Filing documents as required
30. Assist as required for group reporting and performance analysis
31. Assist with ad-hoc projects as required
The Successful Applicant
32. Relevant Accounting experience highly desirable
33. You can be studying towards an Accountancy Qualification but its not essential
34. Self-confidence and diplomacy to liaise internally & externally
35. Ability to make decisions based on information gathered
36. Ability to prioritise work with efficiency and accuracy
37. Ability to work under pressure and to tight deadlines
38. Be a good team worker
39. Flexible attitude to work with willingness to assist with tasks beyond regular responsibilities
40. Good IT skills
41. Intermediate level of MS Office package, including Excel
42. Professional telephone and written business communication skills

43. Salary £24,000 - £30,000
44. Hybrid Working Pattern after training - 2 days in the office and 3 days from home
45. 35 hour working week - hours 8.00am - 4.00pm some potential flexibility over start time
