Senior Administrator required for Fivemiletown area
Hours of Work: 9am-5pm Monday - Friday
Office based role
Salary depending on experience
Key Duties and Responsibilities
1. Manage the day-to-day administrative needs of the team; with appropriate systems, procurement processes, policies, procedures and practices to meet the needs of the projects
2. Handling correspondence on behalf of Managers
3. Travel and Itinerary management
4. Scheduling meetings / Calendar Management
5. Managing internal and external correspondence on behalf of senior management.
6. Scheduling appointments, maintaining an events calendar, and sending reminders.
7. Developing, maintaining and enhancing effective working relationships with a wide range of external contacts which will include members of the public, the statutory and voluntary/community sector, colleagues and other appropriate stakeholders.
8. Respond to telephone and email enquiries from all stakeholders in an efficient and effective manner.
9. Issue correspondence and general office duties.
10. Entering data, maintaining databases, and keeping records.
11. To complete monitoring and evaluation documentation and returns in line with specified requirements when required.
12. To engage in processes and activities to further the stated objectives of the organization.
13. To build relationships with statutory agencies, funding bodies and other service providers to develop referral services, networking and developmental opportunities.
14. Preparing facilities for scheduled events and arranging refreshments, if required.
15. Ordering office supplies and replacements, as well as managing mail and courier services.
16. Dealing with clients/visitors
17. Planning and organizing work to ensure the most effective use of available time and re-sources.
18. Obtaining and organizing information and resources to support work activities in line with policies and procedures
19. Working to tight deadlines and having the ability to work under pressure.
20. Identifying and interpreting problems, generating solutions and taking appropriate action to deliver solutions
21. Ability to communicate effectively both orally and in writing. Having the ability to receive, process and gather relevant and at times, complex information and to communicate in-formation and advice in a manner that is understood, is timely and is tailored to the needs of the recipient
22. Ensure that good governance and effective controls are in place and maintain a strategy for the management of risk
Who We're Looking For:
Essential Skills & Experience:
23. Minimum 2 years' experience in a busy Senior Administration / PA role
24. Proven track record of successfully forging, managing and maintaining constructive working relationships with all stakeholders to develop solutions to difficult or contentious is-sues.
25. PC Literate with Excel experience essential.
26. Customer Service experience - dealing with queries, enquiries and complaints
27. Excellent communication skills - both written and verbal
28. Ability to work with people, both internal and external clients
