Brook Street are currently recruiting for 4 Admin Officers to work for the Vehicle Certification Agency, VCA, in Bristol.
You will be supporting the Audit Planning Team in quite a unique role that requires being able to multi-task. This will involve taking lots of different pieces of information and arranging them to allow the Auditors to do their job to the best of their abilities.
Full-time role working 37 hours per week, Monday-Friday, 9 - 5.
Full training will be given, which will require 100% office attendance for the first 4 weeks.
The role will go to hybrid, office based for 3 days a week once training is completed. This could increase, as required, for further training.
Location- Eastgate Office, Bristol
Rate of pay £13.04/hr
Temporary contract for 6 months
Main duties:
- Booking in audits for the team of 17 Auditors
1. Checking the Auditors diaries, their locations and particular skillset before booking
2. Provide excellent customer service.
3. Manage and maintain a centralised inbox and responding to queries within their service level agreement.
4. Plan for each audit - the time required for the travel there and back, the actual audit, as well as report writing
5. Plan ahead for future audits, ensuring cost efficiencies and personnel welfare are maintained
6. Be responsible for maintaining accuracy of data within the diary and competency matrix
7. Undertake any other duties or activities reasonably requested to meet departmental or business objectives.
Skills Required:
8. Worked within a fast-paced office environment, supporting a range of workstreams
9. Excellent customer service, confident to operate at all levels and be able to escalate to senior colleagues, where appropriate
10. Be able to work independently and as part of a team
11. Effective time management, with experience of working to tight deadlines
12. Excellent written and verbal skills
13. Computer literate in Microsoft suite applications, such as Excel, Word and Outlook
14. Previous experience maintaining diaries and managing work loads of staff
15. Administration, data entry and analysis experience
Candidates applying must be able to pass a clear Basic DBS check and provide proof of Right to Work in the UK. You will also need to provide either reference details and/or evidence for education etc for the last 3 years.
The interviews will take place via Teams and you will be expected to provide proof of Level 2 Maths and English - C or grade 4 or above and demonstrate the below behaviours, answering one question on one or two of them.
