Children in Care Admin Co-ordinator

Main duties of the job
* Provide highly effective administrative support to the Children in Care (CiC) team.
* Coordinate delivery and request of Health Assessments (Initial and Review) for children in care placed in Cambridgeshire, Peterborough and other local authorities.
* Process referrals and requests, maintain patient records, and input data onto computerised systems including SystmOne.
* Allocate and coordinate Health Assessments to CiC Community Paediatrician and Nurse teams, book appointments, send appointment letters, and process completed assessments.
* Escalate any breaches of required time‑frames to Team Lead, Service Manager, Local Authorities, and Integrated Care Boards.
* Provide administrative support at meetings (agenda setting, minute taking, circulation) and cover for other admin colleagues when required.
* Perform health & safety checks, fire officer duties and liaise with the Trust regarding equipment and IT.
* Prioritise workload, resolve conflicting demands, and support the Team Leads and Service Manager as needed.
Job responsibilities (additional)
Facilitate communication channels between the CiC team, local authorities, carers, children, young people, and other agencies.
Maintain confidentiality and comply with Data Protection and information governance policies.
Support training of new staff or students and participate in audit activities.
Person specification
Qualifications & Training
* NVQ level 4 Business Administration or equivalent experience.
* Advanced Excel training.
* General Microsoft Office qualification / experience.
Experience
* Experience of admin services and team coordination.
* Experience of working in a multidisciplinary / agency service.
* Experience of using S1.
* Excellent communication skills, verbal and written reporting.
* Excellent data auditing and evaluation skills.
* Previous experience working with children in care.
