WorkingPattern: Monday to Friday 08:00 to17:00
Based:Glasgow
Salary:26000 per annum (dependent onexperience).

AbouttheRole:
TheOffice Administrator holds a crucial position in facilitating theseamless operation of our business. Reporting to the GeneralManager and providing support to the Select management team thisrole encompasses diverse administrative tasks essential for thesmooth functioning of our office. Exceptional organizational skillsmultitasking capabilities and meticulous attention to detail areessential attributes for success in thisrole.
Responsibilities:
OfficeOperationsCoordination
* Coordinateand oversee office operations to ensure efficiency andproductivity.
* Preparesite packs and maintain SharePoint for effective documentmanagement.
* Monitorphones and info@ emails serving as the primary contact for relevantstaff.
AdministrativeSupport:
* Assistwith various clerical tasks including filing data entry anddocumentpreparation.
* Managecompany correspondence including emails letters andpackages.
* Ensureaccuracy in data input and maintain records through preciseminutetaking duringmeetings.
* Performdata entry tasks updating client records CRM database andSharePoint files while ensuring compliance with financialrequirements.
* Manageinventory of office supplies including stationery and multimediaequipment to support smoothoperations.
Communicationand RelationshipManagement:
* Handleincoming telephone calls redirecting them as needed and providingprompt professionalresponses.
* Cultivateand sustain positive relationships with staff clients and suppliersthrough effective communication and exceptional customerservice.
Meetingsand EventsOrganization:
* Organizemeetings schedule appointments manage agendas take minutes andfollow up on actionitems.
* Coordinatehospitality travel arrangements and companyevents.
Financialand ReportingSupport:
* Assistwith quoting managing NJNs (New Job Numbers) and maintaining salesreports.
* Utilisetimesheets for tracking employee hours and managing procurementneeds.
SocialMediaManagement:
* Overseeall social media activities including LinkedIn postings managedthrough AItechnology.
* Scheduleand publish posts on social media channels ensuring consistency inmessaging andbranding.
* Monitorsocial media channels for comments messages and mentions respondingpromptly andappropriately.
Requirements:
* Experienceof working in an officeenvironment
* Minimum1 year experience in an administrativerole
* ITLiterate including MSOffice
* Ananalytical mind with problemsolvingskills
* Excellentorganisational and multitaskingabilities
* Previousexperience as an Office Administrator is not essential butdesirable.
